Harvard Medical School (HMS) Graduate Education (GradEd) seeks a highly motivated, well-organized, dynamic individual to join their team.

Working within a team of experienced research administration specialists, this position is responsible for the day-to-day management of a portfolio of complex grants including, but not limited to, NIH Training Grants (T32) and Individual Fellowships (F31), and their related subcontracts and billing agreements.

Pre-award responsibilities include grant preparation, budget development, and application submissions in coordination with program directors and PIs. Post-award responsibilities include budget reconciliations and adjustments, final financial reporting to OSP and sponsoring agencies, activating awards, assigning and terminating student appointments, coordinating effort reporting, and reviewing/approving accounts payable to ensure appropriate expense allocation to sponsored awards. It offers an exciting opportunity to learn and improve upon processes, create workflows, and work in collaboration with members of the GradEd team, as well as colleagues in departments across HMS and FAS, including the HMS Office of Research Administration (ORA), Office of Sponsored Programs (OSP), HMS/FAS departments and programs, and affiliated hospitals as needed. This position requires clear and concise communication with everyone involved in the full life cycle of an award.
Job responsibilities:
Responsible for pre- and post-award functions for a portfolio of complex grants, specializing in NIH Training Grants (T32) and Individual Fellowships (F31), and other similar awards.
Works closely with Program Directors and PIs to develop grant and contract applications through careful reading of the request for applications. Collaborate and assist faculty and students in all phases of proposal development and submission. Review funding opportunity terms and conditions, evaluate and coordinate all award requirements, and set clear goals, timelines, and milestones throughout the process.
Ensures accuracy with internal and external regulations.
Reviews new awards and works with ORA to activate and appropriately manage awards in accordance with sponsor requirements.
Reviews, reconciles, and produces financial data for use in planning and decision-making.
Prepares complex and varied financial reports that require selection, preparation, and interpretation of data using data query tools.
Assigns and removes graduate students on training grants in collaboration with corresponding programs and PIs.
Prepares budgets. Prepares and may approve payments for vendor invoices, reimbursements, and other AP up to $25K.
Assists with short- and long-term financial planning.
Basic Qualifications
3+ years of experience in managing grants in a research and/or academic environment; combination of experience and education will be considered.
Additional Qualifications and Skills
Cover letter required.
College degree strongly preferred, or an equivalent of education plus relevant business experience.
Familiarity with complex NIH grant applications.
Pre-award and/or post-award experience in a research environment. Previous experience developing budgets for grant proposals.
Grant management and budgeting, as well as strong financial skills (budgeting, accounting, AP, A/R, reporting).
Strong written and oral communication, analytical thinking, and resourceful problem-solving skills.
Ability to work independently with minimal supervision, and as a member of a team. Willingness to lend a hand when additional assistance is needed.
High level of organization skills with strong attention to detail
Experience with computer information systems, desktop applications, online processes, and data processing. Ability to learn other software as needed.
Knowledge of Harvard systems preferred.
Able to handle highly confidential information with appropriate discretion and sensitivity required.
Able to prioritize duties and meet multiple deadlines
Able to exercise a high degree of judgment to make sound independent decision
Additional Information
This is a one-year term position with strong potential for renewal.

This Staff role may start as a remote position due to the COVID-19 pandemic and while restrictions are still in place. The current remote nature of this role is considered temporary and may change as the University continues to evaluate options. While we continue to monitor the evolving COVID-19 guidelines, local on-campus work may be expected for some roles. Harvard Medical School does support flexible schedules, subject to individual departments’ business needs.
