Job Description : Responsibilities:
Coordinate with divisional VPs to update weekly forecast report provided to ASG President and Finance Department. Manage detailed forecast and backlog for Technology Outsourcing Group
Serve as Project/Contract Administrator, creating services schedules and other client agreements as requested by Sales team, creating new projects in Dynamics AX, coordinate with Project Managers on project/worker assignment for time entry, project budget and general setup, providing project performance reports, employee/job profitability report, and other pertinent information as needed. Maintain electronic record of all client signed documents and associated files.
Provide instruction to Billing Department and Accounts Receivables department for monthly billing of open projects, assisting to address any discrepancies, client disputes, outstanding invoices and other issues. Ensure expectations of sales executives/PMs are clearly communicated to Billing Department, A/R and client to address any disputes.
Obtain President/VP signatures on all incoming client contracts and save fully executed contracts (electronic) on network drive
Project creation and Order Entry (for Billing) in AX Financial System
Adhoc projects, as needed, including Data Transfer/Entry for CRM migrations from Salesforce to CRM
Organize and maintain files with a high degree of confidentiality
Take minutes during client project status calls as well as internal meetings for distribution
Edit and create spreadsheets, but will also use PowerPoint and Word
Assist with team members who work remotely
Provide peer review of documents before final distribution to ensure accuracy of final product
Perform other administrative and clerical assignments as requested
Required Qualifications:
1-2 years’ experience; AA or higher degree preferred
Strong understanding of all office technology and advanced knowledge of Microsoft Office products, particularly Word, Excel, PowerPoint and Outlook
Strong attention to detail with excellent organizational/time management skills
Possess solid client-focused and collaboration skills in a team environment willing to assist colleagues and all members of the team
Excellent oral and written communication skills
