GENERAL STATEMENT OF RESPONSIBILITIES:
This position’s primary responsibility is to assist in the accurate procurement and payment for goods and services purchased by Cape Cod Community College staff and faculty while following college policy and State and Federal regulations and guidelines.
EXAMPLES OF DUTIES:
Serving as a primary contact in assisting College personnel with procuring goods and services, following College policy and MA/Federal procurement standards.
Overseeing obtaining payment approvals from various department heads for invoices.
Researching goods and services pricing options.
Working within the purchasing module to set up vendors, oversee requisition/Purchase Order creation and manually produce requisitions and Purchase Orders for grant purchases.
Participating in processing timely check runs to vendors, employees, and students via weekly disbursements.
Communicating with vendors.
Ensuring compliance with departmental and grant fiscal year budgets.
Processing and posting payments in Massachusetts financial accounting system (MMARS) when using appropriated funds and duplicating the MMARS state check runs in College financial system.
Downloading weekly reports of appropriation balances via Doc Direct on a weekly basis and processing journal entries for any funds appropriated.
Processing and auditing employee expense reports for accuracy and unallowable charges. Reviewing and monitoring staff travel authorizations for proper supervisor and cost approval.
Ensuring compliance with all Commonwealth of MA Accounts Payable & Purchasing policies and procedures.
Assisting in procurement when needed. Vendor verification and compliance with procurement policies is critical.
Assisting with 901 fund reporting in MMARS and Excel.
Performing other appropriate duties as assigned.

Job Requirements:
MINIMUM QUALIFICATIONS:
1. Applicants must have at least (A) two years of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) any equivalent combination of the required experience and the following substitutions:
I. Associate degree with a major in accounting, business administration or business management may be substituted for a maximum of one year of the required experience.
II. Bachelor’s or higher degree with a major in accounting, business administration or business management may be substituted for the required experience.
2. Knowledge of principles and practices of accounting including terminology, and budget compliance.
3. Ability to exercise discretion in handling confidential information.
4. Ability to exercise sound judgment.
5. Ability to understand college policies and procedures as it relates to accounts payable and purchasing.
6. Sound customer service and communication skills.
7. Ability to maintain accurate records.
8. Ability to deal tactfully with others.
9. Ability to analyze and determine the applicability of accounting data, draw conclusions and make appropriate recommendations.
10. Ability to read and interpret documents such as financial reports, accounts and ledgers.
11. Ability to work independently and in a team environment.
12. Ability to reconcile financial documents, records, transactions and statements.

Additional Information:
COMPENSATION: Full-time, benefited AFSCME Unit Position – Job Grade 16 – Step I Weekly salary of $899.82. Candidates may qualify for placement above entry-level salary if currently employed in the State system. Position includes participation in a comprehensive employee benefits program.
