Job Description : Personal Assistant to MD Need Female candidate onlyRoles and ResponsibilitiesTo provide a personal assistant role to the Managing Director in the follow up and completion of departmental work plansTo provide administrative services including diary management, booking meetings, planning events, organising travel and preparing travel itineraries, correspondence and prioritising emails, implementing organisational projects and programmes and accurately recording minutes from meetingsTo conduct research/ analysis as directed by the MD and produce reports as and when requiredMaintain an organized filing system of paper and electronic documentsPrepare internal and external corporate documents for team members and partnersCoordinate executive communications, responding to emails and interfacing with clientsPlans, coordinates and ensures the MD schedule is followed and respectedTo facilitate meetings, schedule debriefing meetings so follow up action can be implemented.Schedule meetings, calls, presentations and travelCoordinate leadership team meetings and clients meeting(s) if neededMonitor MD emails, while maintaining a high degree of confidentialityCoordinate travel reservations for air, hotel, visa, reimbursement etc.Draft emails to employees, suppliers, vendors and clients.Coordinate and schedule conference rooms for meetings at internal and external locationsMay read and respond to emails and requests on behalf of the leader; ensure leader is informed of pending requests or requests where follow up is required.Desired Candidate Profile : Minimum 2-5 years experience supporting an executive in a corporate environmentGraduation is must and secretarial course is a plusAbility to organize a daily workload by priorities and ability to multi task effectivelyStrong time-management skills and the ability to organize and coordinate multiple projects at onceFlexible team player willing to do what it takes to get the job done; adaptable and enjoys a challengeProficiency with MS-Office tools and other office productivity tools, with aptitude to learn new software and systems. Good in data analysis and technical skills.The flexibility to work additional and open to travel as necessary to fulfil the requirements of the role and meet the business needs as & when required.Fluency in spoken and written English.
