Job Description : This position is responsible for the office administration function for all Dubai-based units, by supervising the administration team on daily office operation, to ensure that it is operated effectively and efficiently.
Job Responsibilities:
Supervision
Supervise and assign tasks to Office Assistant, Receptionist and Company Driver to ensure smooth running of the office facilities, including meeting rooms, reception area, pantries, storage and public areas.
Arrange delivery of documents.
Monitor courier and mailing services.
Coordinate Roster schedule and shift as necessary.
Office Supplies
Negotiate and co-ordinate with suppliers and vendors regarding office equipment, stationery, printing and pantry supplies etc.
Responsible for arranging regular cleaning, pest control, carpet cleaning, plants.
Office Renovation
Handle renovation and relocation project including sourcing vendor, tender and contract liaison, project implementation, coordinate with internal & external parties.
Insurance
Handling both local and global insurance such as data consolidation, annual renewal and insurance claim applications.
Office Assets / Vendor Management
Handle asset record for office equipment and furniture.
Keep good record of the company vendors and properties e.g. company car, mobile phones; source and liaise purchases / service and maintenance agreements according to company standard and budget.
Liaise with building management to ensure quality building services to company and employees so an amicable working environment can be maintained; coordinate broadcast of fire drill.
Security
Ensure the alarm system works effectively.
Monitor company security access card system, CCTV system.
Responsible for the key box of the office.
Office expenses
Check and authorize monthly office charging, e.g. mobile phone, courier, IDD charge report.
Monthly and adhoc report of usage statistics and spending for businesses and management’s consideration.
Others
Warehouse management of mass office archives.
Assist HR in organizing employee activities, such as annual dinner etc.
Work with HR to distribute wine/company product to staff on seasonal basis.
Arrange and manage car rental service for Senior Management
Assist in any other ad hoc projects as assigned.
