Job Description : Description: Administrative Assistant: A JoshCo Group LLC People Operations Administrative Assistant is responsible for delivering administrative support for the People Operations team, and on an as “as needed” basis, for the Executive Group in the absence of, or as a backup to the Executive Assistant. The primary focus of this role is to provide administrative support efficiently and professionally for the Talent Acquisition and People Relations functions. Duties will also include coordinating meetings, appointments, interview schedules, maintaining departmental supplies, and acting as a first point of contact for the People Operations Team. This role will be responsible for handling, processing, and filing a variety of correspondence, documentation, and assembling and maintaining highly confidential information. They will also need to interface professionally, enthusiastically, and competently with a diverse group of important external callers, visitors, and internal staff at all levels. The ideal candidate will demonstrate strong written and verbal communication, decision making, and prioritization skills, and the ability to plan and organize and be flexible with their focus on a diverse and fast-paced workload.. Graciously, politely, and professionally, in both written and verbal communication, represents the Company’s internal and external brand as the first point of contact for the People Operations team.
Ensures that any People Operations areas are properly and presentably maintained.
Designs and crafts general departmental correspondence (email, electronic & paper), memos, presentations, spreadsheets, and other files as needed.
Assists with publishing, reviewing, and maintaining the accuracy of Talent Acquisition and People Data/ Metrics on a regular basis to include dissemination of reports to authorized staff and departments.
Appropriately deescalates and redirects volatile staff or external calls with professionalism, satisfaction, and resolution as the top priorities.
Provides direct and ongoing support to the Talent Acquisition efforts to include participation in recruiting events, resume screening and statusing , phone and in-person/virtual interview scheduling, calendar and appointment management for candidates/interviewers, and other candidate contact, and coordination as needed.
Regularly monitors Talent Acquisition email box and distributes, responds to, follows-up on, and archive emails appropriately.
Provides in-person candidate/visitor liaison services in coordination with the front desk and acts as a greeter for in-person staff requiring meetings with People Operations members.
Conduct and monitor candidate background checks
Drafts candidate employment offer letters in coordination with the Sr. People Operations Generalist.
Assists with the on-boarding function to include coordinating with IT and Training, greeting candidates for equipment pick-up and completing employment authorization requirements (I-9). Participates/presents in all new-hire orientation sessions.
Creates, maintains, and updates electronic and paper candidate and employee records in the Human Capital System (HCM) to include all People Operations modules.
Manages sensitive and confidential matters, escalating issues following company policy.
May assist with the organization of Departmental, Executive, and Company activities such as meetings, conferences, travel coordination, and department events.
Completes any additional duties completely and accurately as assigned by direct supervisor in requested timeframe.
Provides other needed administrative support to People Operations and Executive Team to include special projects and other duties as assigned.
Qualifications or competencies:

Familiarity with employment law at both Federal and State levels.

Supervisor Responsibilities: This position has no supervisory responsibilities.Work Environment: This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.While performing the duties of this job, the employee is regularly required to talk and/or hear. This is largely a sedentary role; however, some walking and filing as needed. It requires the ability to lift files, open filing cabinets, reach with hands and arms, bend, and/or stand on a stool, as necessary. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The ability to listen and respond is an essential part of this role.Position Type: This is a full-time, in-office position. On a limited basis, remote work is dependent on business needs and supervisor approval. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Schedules must be approved by the Chief People Operations Officer.Travel: Travel to local and outside of the state offsite events, trainings or meetings may be required and is estimated to be less than 20%.Required Education and Experience:
Human Resources / Recruiting Experience required with a general knowledge of HR practices and procedures with a strong focus on employment law.
A minimum of a High school diploma or general education degree (GED), 4 Year Degree preferred.
Proficient computer skills, including Microsoft Office Suite with a focus on Word, Excel, Outlook, and PowerPoint.
HCM experience with a focus on ATS use (Paylocity preferred).
Strong verbal and written communication skills.
Comfortable with routinely shifting demands.
Must be detailed oriented, motivated, and a self-starter.
