Job Description : Duties
Major duties and responsibilities include, but are not limited to the following:
Manages the Service’s SharePoint site and other directories where information is stored.
Communicate program related matters and/or specific policy information related to Service and assist in updating and/or developing policies and procedures.
Responsible for scheduling Service-related events, making conference room reservations, sending calendar invites and developing agendas.
Attend meetings of appropriate Boards/Committees as delegated, with ability to respond to questions concerning related Service issues, and to report meeting content to ACOS Education.
Take meeting minutes and collect applicable information, follow-up, and update meeting agenda items as necessary for future committee meetings/boards.
Assist in the preparation of written materials and/or coordinate appropriate outreach and marketing activities as assigned.
Maintain confidentiality in communicating sensitive information and in handling confidential materials.
Complies with all acquisition regulations, as well as all federal VA and local policies and procedures to support the organization’s mission and needs.
Fosters good public relations when interpreting philosophy, policies/procedures, goals and objectives to staff, community agencies and the public.
Serves as Service liaison to external and internal stakeholders. Communicates through written documents, electronic communication, telephone, and face to face with all stakeholders while providing excellent customer service.
Answers and screens telephone calls and visitors to the office of Education Services.
Directly responsible for creating, processing and tracking work orders for all ACOS Education activities/needs. Will be directly responsible for inputting work orders.
Maintains running inventories of program and office supplies and equipment; orders equipment and supplies.
Maintains, revising as necessary, the office filing systems; handles building and equipment maintenance issues, mail distribution, building access and key distribution; and conducts and reports findings of Environment of Care rounds.
Serve as the primary point-of-contact on daily contract issues for the Education Service (e.g. answering contract questions, printing reports, inputting work orders, running reports, etc.)
Attain and maintain computer skills (e.g. word processing, file management, VISTA program, EXCEL spreadsheets, PowerPoint) and communication tools such as MS Outlook, SharePoint, and Meeting Room Manager.
Assists in the planning, compilation, review, and reporting of data to identify training needs and to evaluate performance measures related to Education.
Performs work directly related to the collection, compilation, and tracking of data related to Education and other outpatient Service, performance measures, PACT, Primary Care/Mental Health Integration (PCMHI), Patient Centered Care (PCC), and Whole Health (WH). Provides a basic analysis of the data and generates a variety of reports.
Independently reviews, analyzes and interprets incoming requests, recommends appropriate action or suggests appropriate alternatives, based on knowledge of internal operations, budgetary constraints and work priorities.
Reviews documents, reports, and program applications for omissions and inconsistencies.
Proofreads/edits materials distributed by the ACOS to ensure that established rules of punctuation and grammar are followed.
Involved in the practical and technical aspects of office administration including budgeting, supply management, purchasing, personnel administration, and file management by performing staff support and/or direction in each of these areas.
Tracks financial, personnel, supply, and other administrative transactions as the documentation flows through the Service in
both electronic and paper form. Identifies and recommends ways of eliminating, combining, simplifying, and improving procedures and processes.
Serves as office of Education, Records Liaison Officer ensuring compliance with VA and VHA guidelines regarding maintenance and tracking of pertinent records.
Work Schedule: Monday through Friday, 8:00am – 4:30pm

Physical Requirements: The work is mostly sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, and lifting of equipment less than forty pounds. No special physical demands are required to perform the work.
Work is usually performed in offices, meeting rooms, classrooms, or similar setting s involving everyday risks or discomforts. The work area is adequately lighted, heated, and ventilated. This position requires no exposure to tuberculosis, blood borne pathogens, body fluids, or other potentially infectious materials.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA’s) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Detail-oriented, able to work under pressure, prioritize, and carry-out multiple assignments simultaneously; Professional knowledge of accepted practices in communications (i.e., writing, editing, and organizing for logical, effective presentation); Effective oral and written communication skills to provide instruction, administer special projects, and report findings to a varied audience; Advanced skills in typing, Dictaphone, calculator, and personal computer with practical experience in using computer software programs designed to compile and analyze data, develop reports, and prepare written materials to include but is not limited to Microsoft Word, Microsoft PowerPoint, Microsoft Excel, Adobe Creative Suite, Outlook and VISTA; Thorough understanding of customer service principles and team concepts; Maintain the highest degree of confidentiality in all matters relating to the performance of all sensitive aspects of the position.
There is no educational substitution for the GS-07 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
