Position : Administrative Assistant

Job Description : SUMMARY
Under the direct supervision of the Director of Operations, the Administrative Assistant will schedule appointments, provide information to callers, draft correspondence, and reports, and handle other clerical work, administrative and business details to support the Housekeeping and Set Up Operations Managers.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Print and Distribute work orders from Events Department and ALTUM to Foreman on duty and complete in EBMS and ALTUM when needed.Monitor and update housekeeping supplies inventory weekly. Communicate with Housekeeping Manager and Director when inventory replenishment(s) are needed.
Generate purchase orders in Solomon and provide purchasing with approved/signed requests by Director.
Monitor Service Contractors’ tilt(s) usage, ensure tilt(s) are labeled, issued to cleaning company, and billed.Facilitate day to day communication with Local 332 Foreman and Lead.Provide communication support in the form of answering, screening, and directing telephone calls, two-way radio communications and electronic communication. This also includes the formulation of Shift Report provided by Foreman/Lead on duty and providing work completion to internal departments.Monitor Local 332 call out line voicemails and update call out log daily.
Assist Operations Managers during hiring process of Local 332 staff by providing welcome package, scheduling time clock training with payroll department, issue of I.D. badges with Security Department, uniform provision/distribution and assign locker(s).Monitor event waste management and finalize billing process under supervision of Director of Operations.Provide routine administrative support to the department such as filing, typing, copying, and mail distribution.Maintain Local 332 PTO documents and spreadsheets. Communicate with payroll regarding approved PTO requests, payroll discrepancies and other minor payroll change notifications.Maintain an irregular work schedule when circumstances dictate.Assist the Receptionist with front desk duties.Other duties as assigned by the Director of Operations.

EDUCATION AND EXPERIENCE
High school diploma or G.E.D.2-4 years’ secretarial experience
KNOWLEDGE, SKILLS AND ABILITIES
Ability to type at least 55 wpm
Ability to use all office equipment, computer, calculator, fax machines, copy machines
Ability to prioritize tasks and to handle multiple tasks at a timeGood communication, problem solving and organizational skillsExcellent customer service and public relations skillsProfessional presentation and appearance
COMPUTER KNOWLEDGE
To perform this job successfully, an individual should have working knowledge of event booking and scheduling software, spreadsheet software and word processing software and be proficient in Microsoft Word, Excel, and PowerPoint.

Specific vision abilities required by this job include close vision to handle contracts, other office correspondence, etc.
