Position : Administrative Assistant
Job Description : We are currently seeking for an Administrative Assistant to be responsible for the timely, accurate and efficient preparation and management of documents and all day-to-day administrative responsibilities. The Administrative Assistant will also control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects, or departments.
Tasks may include – but are not necessarily limited to – the following:
Check, edit and maintain the Document Control email with all incoming documents and prepare for distribution.
Check daily for transmittals from TxDOT SharePoint site and prepare for distribution.
Manage and maintain all controlled company documents.
Update and control procedure documents and forms.
Take charge of all document identification, classification, filing and workflows.
Take charge for all daily, weekly, monthly or annual reports are submitted to TxDOT on a timely basis by requesting from responsible party in advance of due dates or with any follow-up as necessary.
Frequently conduct document audits confirming they are current and accurately reflect recorded evidence.
Ensure revised documents are accessible.
Assist with communication during external audits.
Conform to company enforced specifications and document control procedures.
Train employees in the company’s-controlled document processes to ensure correct handling of documents from the ground up.
Oversee document through its entire lifecycle (inception to archival).
Create document filing and organizing systems that are both effective and efficient.
Ensure proper organization and security of documents (paper and electronic).
Log document requests and help retrieve documents as needed for employees.
Make available, notify, and distribute documents to relevant recipients.
Confirm delivery of documents to proper personnel.
Collaborate and communicate with managers and project leaders.
Take minutes of various department meetings, circulate for review and approval and upload into Document Control Aconex system as needed.
Open and distribute company mail.
Maintain inventory of kitchen, office and first aid supplies and create Request for Purchase (RFP).
Maintain kitchen stocked with all supplies needed as well as first aid box.
Help purchasing with receiving of shipments of supplies or services.
Assist other departments with administrative duties.
Qualifications:
High school diploma or GED
Oracle – Aconex required
Computer spreadsheets and bookkeeping programs
Strong Data entry skills. Ability to type at least 30-35 WPM including number-keys.
Job Type: Full-time
Pay: $19.00 – $25.00 per hour
Schedule:
8 hour shift
Monday to Friday

Houston, TX 77021: Reliably commute or planning to relocate before starting work (Required)
Education:
High school or equivalent (Preferred)
Experience:
ACONEX: 1 year (Required)
Data Entry: 1 year (Required)
