The Administrative Assistant provides administrative and secretarial assistance to the Chief Clinical Officer and Market President including a variety of complex functions critical to ensuring successful daily operations.
Primary Job Duties:

Front desk and office management tasks such as greeting, ordering stocking supplies, and maintaining a neat office environment
Develop, implement, and maintain filing systems;
File and retrieve corporate records, documents, and reports;
Read, proofread, and help edit documents;
Prepare support materials for presentations, meetings, and special projects;
Draft, produce and distribute correspondence memos, letters, faxes and forms
Accurately record and distribute meeting minutes;
Assist in the preparation of regularly scheduled reports
Proactively track, follow-up on, and report project status;
Proactively manage executive calendars to ensure all necessary arrangements are made for meetings (A/V setup, reserving and preparing conference rooms, catering needs, providing and communicating event details in a timely manner to participants);
Coordinate all travel logistics for the executives you are supporting (e.g. flight, car and hotel reservations);
Track and report on all expenses for the executives you are supporting;
Manage constantly changing schedules with an extremely high level of attention to detail;
Juggle multiple competing requests and demands and effectively manage priorities; and
Quickly respond to changing needs, anticipate problems, and correct them in a timely manner;
Travel to speaking engagements, board meetings and conferences as needed, including nights and weekends
Perform other duties as assigned

Qualifications

At least 1-3 years proven experience as an executive assistant, office manager or other relevant administrative support experience
Skilled in Microsoft Word, Excel, and Powerpoint, including preparation of documents, correspondence, presentations and large mailings
Experience with Google suite (Gmail, Google Sheets, Google Slides, Google Docs, Google Meet)
Must comply with HIPAA rules and regulations

Ability to move about the office or other locations as needed
Ability to occasionally ascend/descend a ladder
Ability to occasionally position self to maintain computers including under desks and in service closets
Ability to occasionally lift, push, or pull up to 25 pounds of equipment, usually in the form of boxes, equipment or other small packages
