Job Description : Summary
The Front Desk Specialist – Trainee serves as a key player in front desk activities (checking-in and checking-out patients) for various providers of health care services at various locations. In addition to performing Front Desk duties, the candidate will also be responsible for covering at Guest Services. The Front Desk Specialist – Trainee is Baylor’s first impression.
The candidate should be customer service oriented, experienced and knowledgeable of front desk duties for multiple payers and patients. This position requires the ability to work in a fast-paced environment and to deal with stressful situations with resourcefulness and initiative. The ability to accept training, instruction and change with a positive attitude is essential. The individual interacts with patients, employees, management, and other support and professional staff. The individual should know how to interact professionally verbally and via written correspondence. The nature of the work demands maturity, courtesy, tact, professionalism, a sense of urgency, confidentiality, technical and interpersonal skills.
The candidate should have the flexibility to work alternative hours when necessary (hours of operation are 7:00am – 6:30pm). The candidate should also have the flexibility to float to different locations when necessary.
Job Duties
Greets guests, patients and visitors upon arrival and makes them feel welcomed with a smile and eye contact.
Assists all patients and visitors at each clinical location.
Provides wheelchair assistance to patients when needed.
Assists patients into and out of wheelchair, without lifting.
Ensures patients are comfortable and safe during transit.
Provides information and directions to patients and visitors.
Directs patients to the appropriate building/location/floor/suite number based on physician name, department and/or department specialty.
Assist patients with finding nearest hotels, restaurants, and/or points of interest, etc. by providing link on public website.
Assists patients with directions to and from one building to another and/or around Houston (Google maps).
Signs in Pharmaceutical Reps and vendors at the guest service desk; ensures that Pharmaceutical Reps have confirmation of appointment with the doctor or clinical staff; ensures that Reps are aware that they are not allowed on the clinical floors during clinic times.
Stays close to desk on the first floor when not assisting wheelchair bound patients to clinic areas.
Communicates with co-workers to maintain coverage if stepping away from the guest service area is needed.
Assists patients with calling for patient transportation (Metro Lift, Cabs, etc.).
Answers guest service phone promptly.
Ensures that all phone messages are answered.
Directs all deliveries to the loading dock area of the building; deliveries are not to be accepted at guest services under any circumstances.
Provides all lost and found items to Security at the appropriate location.
Limits computer use to patient assistance.
Adheres to Baylor Medicine policies and procedures.
Minimum Qualifications
High school diploma or GED.
No experience required.
Preferred Qualifications
Excellent emotional intelligence, listening, and communication skills.
Reliable time-management and punctuality.
Ability to stand, and walk continuously during shift (sitting occasionally).
Ability to push/pull more than 50 lbs.
Flexibility to work alternative hours when necessary (hours of operation are 7:00am – 6:30pm).
Flexibility to float to different locations when necessary.
