Job Description : We are looking for a new front office assistant team member to help our front desk team on a daily basis. Our phone lines, services, and clientele have immensely increased since the beginning of the COVID-19 pandemic.As a front desk team member, you will be the first point of contact for our company. Our receptionist’s duties include offering client support in a timely manner. You will welcome clients and greet them in person when checking in or out, taking voicemail messages, answering messages with call backs and getting their medications. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a receptionist with us, you should have a pleasant personality, as this is also hugely a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This is a high volume, high work load job. Ultimately, a receptionist’s duties and responsibilities are to ensure the front desk flows smoothly, answers calls and messages in a timely manner, and execute all other tasks to the highest quality standards.ResponsibilitiesProvide customer service such as greet customers, answer questions, process incoming patients, and handle paymentsAnswer, screen and take detailed messages on incoming phone calls and missed call messagesEnsure reception area is tidy and presentableUpdate and file patient chartsProvide basic and accurate medical information in-person and via phone/emailIdentify and work compassionately with clients in various emotional statesMaintain office security by following safety procedures and controlling access via the reception deskUpdate calendars and schedule appointmentsPerform other clerical receptionist duties such as getting information from doctors to answer client questions, photocopying, and other client communications of all kinds.4 days a week with rotating Saturdays (half day 8-12/close) required. 40-45hours/week.
