We are looking for a part-time employee, not a contract bookkeeper. For this position, we are looking for independent, detail-oriented applicants. Responsibilities fall into two categories: office management (general & administrative) and project accounting/bookkeeping.Office ManagementMaintain personnel files with current information; facilitate onboarding of new employeesMaintain accurate and complete archived electronic records in cloud-based platformProvide administrative support for the company’s retirement plan, including monthly deferral payments and annual reportingProvide administrative oversight of the company’s health plan, including annual renewalsOversee company insurance policies (liability, workers comp, E&O) including renewals and communication with broker for coverage of new client contractsServe as the company’s primary liaison for other administrative contacts (state, federal, local jurisdictions, and others) and maintain associated web-based logins and accountsPost office mail collection (if located in Bend, Oregon), bank deposits and office supply purchasingPerform periodic reviews and updates to Employee Handbook and company Policies &Procedures Manual to reflect HR compliance and current process details, respectivelyOther tasks as requested by the Managing Director, Finance Director, and company PartnersProject Accounting/BookkeepingFacilitate and maintain project documentation electronic files including budgets and various contract requirements including insurance and vendor payment setupsReview and record monthly time sheets and expense reports for partners, employees and contractorsUse QuickBooks to prepare monthly invoices; coordinate with Managing Director for full review; prepare supporting documentation and send to company clientsProcess staff expense reimbursementsProcess monthly employee payroll with ADP and download associated monthly, quarterly and annual reportsProcess incoming invoices and ensure timely payments to vendors, contractors, and partnersPerform monthly bank statement reconciliations and ongoing check deposits via in-person and mobile bankingPrepare monthly and annual (non-payroll) tax payments – state and federalPrepare monthly and annual financial reports for Finance DirectorCoordinate and meet with CPA and Partners to prepare books and worksheets for annual income tax preparationProcess year-end 1099s to vendors and distribute employee W2sOther tasks as requested by the Managing Director, Finance Director, and CPAMINIMUM QUALIFICATIONSPrior bookkeeping, office management, and/or accounting experience and trainingProficiency with QuickBooks Desktop (including both accrual and cash accounting methods)Proficiency with Microsoft Office (Word, Excel, PowerPoint)Experience with cloud-based file storage systemsExperience and comfort with Apple/Mac for above applications or willingness to learnProfessional level oral and written communication skillsNumerical accuracy and attention to detailExcellent organization and time-management skillsAbility to handle confidential informationDESIRED QUALIFICATIONSInterest in and ability to occasionally assist with business development and technical editingADDITIONAL DETAILSPart-time – Approximately 40-50 hours per monthSchedule is semi-flexible; the bulk of hours worked each month occur at the beginning of the month and applicants must be available during these days to ensure timely invoicing of clientsAMP Insights is an equal opportunity employer.
