About this Opportunity
The Montana State Auditor’s office is currently seeking a Human Resources Assistant to perform a variety of administrative tasks and services to support effective and efficient operations within the agency’s Human Resources department. This position will also serve as a back-up to the administrative assistant at the front-desk and will report directly to the HR Generalist.
This position provides professional level support for the entire agency, utilizing exceptional customer service skills and techniques, while establishing and maintaining a professional atmosphere for staff and members of the public. The tasks associated with this position, include, but are not limited to the following:
Performs administrative work to include updating records and documents, such as organizational charts and personnel records, using both electronic and paper filing systems as staffing changes occur.
Works with highly confidential and sensitive information
Performs duties associated with records management and ensures compliance with policies and rules associated with this process.
Explains HR policies and procedures to both new hires and existing staff.
Assists with the hiring of new employees, from preparing and submitting job position descriptions for review and posting, corresponding with candidates during the recruitment process, scheduling interviews, assisting with background check processes, and onboarding of new employees.
Coordinates with employees, supervisors, and the HR Generalist regarding FMLA notifications, tracking, and documentation.
Serves as a back-up to the front desk administrative assistant. Tasks include, but are not limited to the following:
Answering telephone calls, greeting visitors, and directing them as applicable.
Handling incoming and outgoing mail, emails, and faxes.
Performing general office tasks such as monitoring and maintaining office supplies and equipment.
Maintaining and performing data entry into databases.
Proofreads documents, records, and other files to ensure accuracy.
Performs other duties as assigned.

Additionally, in order to be successful, you must be able to establish and maintain effective working relationships with co-workers, department staff at all levels, and the general public.
Effective time management skills, flexibility, and multi-tasking abilities.
Ability to be resourceful and adapt quickly to get the job done.
Minimum Educational and Experience Requirement:
Two (2) years of post-secondary education in business, human resources, public administration, communication, or a related field; and
Three (3) years of related work experience in clerical and administrative field.

Other combinations of education and experience will be considered on a case by case basis.
Preferred Experience:
Minimum of one (1) year experience in a human resources role is preferred.
