Job Description : EXECUTIVE ASSISTANT – PROPERTY MANAGEMENT
Location: Grosse Pointe MI
Direct Placement- Fulltime- Mon-Fri 8:30- 5:30pm
Salary: 55K
Essential duties and areas of accountability:
Working with the property management team, and other departments, the executive assistant is responsible for all activities required to successfully support the team and its goals. These responsibilities include, but are not limited to, the following:
Provide administrative support to the property management team, including timely and accurate completion of correspondence, reports, presentations, etc. using various software applications and visual aids.
Assume responsibility for the strict adherence to clients’ standards on all documents and materials
Maintain accurate electronic and paper filing records within the client’s filing system and ensure file record can be easily accessed by the property management team.
Field telephone calls in a professional expeditious manner. Acting in the capacity as a “customer service representative” determine the caller’s needs and take appropriate action as necessary.
Manage email system to properly file emails, track deadlines, follow up on collection of information and other necessary duties as needed.
Assist in preparing all legal documents [ that which require a signature of Landmark, the project company, a tenant or vendor / contractor] including but not limited to Vendor Contracts, Commercial Leases, General Contractor Contracts, Architectural Firm Contracts and Final Lien Waivers.
Manage and maintain property management work order system(s).
Obtain, review, and enter all vendor and contractor invoices for manager(s) review.
Tenant rent collection and follow up on delinquent rents.
Assist with maintaining and filing tenant and vendor COI’s.
Assist with annual budget preparation, monthly financials and other reporting requirements as needed.
Organize meetings both on and off-site, including travel, supply/equipment assembly, agenda / minutes / notes preparation and distribution.
Qualifications:
High school diploma.
A minimum of two years of advanced education at an accredited university or technical school preferred.
A minimum of five years’ experience with at least three years of experience working at the executive administrative assistant level.
Excellent Microsoft Office and general computer skills.
Excellent communication skills.
