Job Description
The Administrative Assistant will provide general administrative support.
(50%) Assist with Staffing and Coordinate New Hire Orientation
Act as the main point of contact for new hiresManage the Applicant Tracking System; hire in new team members, process new hires and promotions, close out candidate applicationsMaintain interview scheduling for candidatesCoordinate new hire orientation and communicate logistics to new hires; background check/MVR results, schedule time, new hire paperwork to complete, etc.Track and maintain new hire documentsMaintain new hire orientation sign-upProcess all rehire checks in ATS
(15%) Provide Administrative Support and Assistance
Manage phone calls and correspondence (e-mail, letters, packages etc.)Support the market team and Director in administrative tasks and programsPrepare expense reports for DirectorOrder supplies, equipment, and other materials for the department, stores and officeOffice facilities and general office managementCompile reports, maintain market rankings and achievers’ programAssist in updating and finalizing agendas, office maps and presentation materialsHelp coordinate facilities maintenance with stores and district managers
(10%) Coordinate Meetings, Events, and Travel
Assist in scheduling/coordinating travel and travel itineraries for Director – Corporate Operations and market visitorsLogistical coordinator for market rallies, retreats, meetings and other eventsCoordinate market event calendars and scheduleOrganize, coordinate and communicate department meetings, both onsite and offsite, including accommodations and meeting rooms, meal services, materials preparation and coordinating required follow up for action itemsCoordination of social activities; team member birthdays, anniversaries, team holiday parties, etc.
(25%) Assist with Team Member Compliance
Maintenance of compliance activities including new hire paperwork, MVR, DEA, labor compliance and background checks, etc.Partner with the compliance team to request adjudicationsAssist with HR and payroll administrative support for marketProvide store team members support for lock outs, active team members MVRs and troubleshooting TM clock-in problems

Qualifications
Minimum 1+ years administrative experienceAssociate or bachelor’s degree a plusStaffing experience preferredProficient in Microsoft Programs; PowerPoint, Excel, Word, OutlookStrong organizational skillsExcellent written and communication skillsMust be flexible and a team playerStrong customer service experienceBi(multi) lingual a plus
