SUMMARY:

The Gifts and Records Analyst is responsible for the accurate processing, accounting, recording, receipting and reconciliation of gift and membership revenue. The position ensures accuracy and integrity of fund information, in the entry and maintenance of biographical and constituent data for records in the donor database. The Gifts and Records Analyst collaborates with the Financial Services department, providing excellent customer service to all stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Process and oversee memberships, gifts, and pledges (cash, checks, securities, gifts in kind, credit cards, bank drafts, wires, matching gifts, payroll deductions, gift annuities, memberships, estates, life insurance, etc.) from alumni, friends, corporations, foundations, and other constituents of the University based on current Foundation policies and procedures and IRS requirements
Analyze and research unusual transactions, evaluating donor histories to determine gift credit, identifying donor and donor intent, and recording gifts per audit requirements
Add and manage constituent records including analyzing information and populating all appropriate data fields where information is available, including names, addresses, phone numbers, relationships, employment records, interest codes, mail suppressions, mailing lists, student and other IDs, martial relationships, graduation and education information, and birth or death records
Protect and enforce the privacy of donor records, including management, organization, and security of donor files
Liaison to donors and University with inquiries related to giving records, policies and procedures
Serving donor and University with exceptional customer service
Support cash and check revenue reconciliation and credit card revenue reconciliation for multiple feeder systems and merchant identification numbers
The position will also manage all merchant IDs and payment gateways as well as initiate requests to transfer funds out of clearing accounts in alignment with Foundation balance and transfer policies and for maintaining zero-dollar-balance records on all clearing accounts
Manage the Foundation’s Merchant IDs, payment processors and payment gateways to ensure optimal service and efficiency
Manage and facilitate the process for creating new funds including reviewing all requests for accuracy, making changes as necessary and coordinating with accounting as needed.
Manage and facilitate all requests to modify funds including purpose language, re-orgs, and restrictions
Assist in defining and documenting policy and procedures for gift recording and reporting

OTHER DUTIES AND RESPONSIBILITIES:

Remains current on IRS requirements and standards for gift acceptance and receipting as we as other policies and laws that impact gift processing and donor confidentiality including, CASE standards, PCI Compliance, GDPR, FERPA, HIPPA, and Oregon and federal laws.
Participates in on-going training and education
Performs other duties as assigned

COMPETENCIES AND EXPERIENCE:

Typically requires a Bachelor’s Degree in Accounting or Finance
Prior reconciliation experience preferred
Proficiency with MS Office and advanced computer skills required (including a working knowledge of development and financial systems)
Ability to learn quickly, multi-task and manage complete data sets in a sophisticated financial environment
Critical thinking and an ability to learn quickly and manage complex data sets in a sophisticated financial environment
Strong written and oral communication skills, organizational and interpersonal skills
Excellent attention to detail and accuracy
Experience managing multiple assignments/projects and conflicting priorities with the pressure of short, demanding deadlines in a fast paced environment
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
This job is conducted in an office work environment, sitting most of the time
Approximately 90% of this position’s duties require use of a computer
Must be able to exert up to 10 lbs. of force occasionally

Compensation: $24/Hour DOE
