PE30 1PHProbation Period: 6 monthsNotice: 1 monthContract Term: PermanentPurpose of Job: The Purfleet Trust is a highly respected West Norfolk voluntary organisation established to meet the immediate needs of people with complex needs who are homeless, facing homelessness or inadequately housed. The Bookkeeper / Finance Administrator is responsible for the smooth running of all aspects of the financial administration of the Trust, and to provide high quality and effective financial support to the charity.Key Tasks & Responsibilities: To work with the Chief Executive and the Business Assurance Team to ensure appropriate financial administration and planning to enable a rapidly growing organisation to run efficiently and sustainably, continuously improve its services and maintain its reputation; in accordance with its memorandum of articles and values, good bookkeeping practice in compliance with all legal requirements and financial standards.Main responsibilities: Planning and reporting1.1 Develop budgets, forecasts and financial plans in collaboration with the Chief Executive and assess the financial implications of external events and internal changes. 1.2 Monitor financial risks and advise on the financial impact of strategic decisions.1.3 Prepare regular management accounts (monthly and quarterly) showing income and expenditure against budget, monitor reserves and monitor compliance with restrictions on the use of funds.1.4 Arrange for the production and examination or audit of the end of year accounts in accordance with legal requirements. In collaboration with the Treasurer and Chief Executive, ensure that timely and accurate documents are submitted to the Charity Commission and Companies House.1.5 Be the primary liaison point with the Treasurer and the External Auditor.Financial procedures2.1 Ensure that the organisation has and follows written policies on financial procedures and controls to ensure efficient use of resources and integrity of accounting records.2.2 Ensure that financial procedures are reviewed, updated and improved as appropriate, in line with the changing needs of the organisation.2.3 Explain financial procedures to staff, arrange training for colleagues as required and ensure that good practice is embedded in the organisation.2.4 Ensure financial procedures are compliant with GDPR regulations.2.5 Bookkeeping and finance management2.6 Take full charge of day to day bookkeeping and reporting duties using Sage Accounts, to include sales ledger invoicing, credit control, purchase ledger processing & payments.2.7 Recording the fundraising activity of donors on a database and maintaining donor records.2.8 Prepare and post general ledger journals2.9 Payroll data compilation for external payroll processing.2.10 Ensure that recording of income and expenditure, bank reconciliation, payment of invoices and reclamation of Gift Aid are administered accurately and in a timely manner.2.11 Ensure that effective financial records are maintained in the accounting system.2.12 Maintain well-organised paper records where required.2.13 Manage the relationship with our banks and be a bank signatory, able to sign cheques and authorise salaries and other online payments in accordance with the Trustees’ policy on authorisation.2.14 Manage cashflow, using online banking facilities to move funds between accounts as required.2.15 Produce quarterly VAT returns2.16 Participate in ad hoc tasks compatible with the role in order to ensure the smooth running of the office.Person SpecificationKnowledge, Skills and ExperienceEssential· Strong aptitude for numbers and accountability· Track record of taking sole charge of the day to day finances of a growing organisation – ideally a charity.· Knowledge of charity accounting and reporting requirements e.g. restricted vs unrestricted funds· Ability to do some financial analysis, to identify trends and answer queries.· Ability to produce accurate accounts, budgets, forecasts, and reports for different audiences, to deadlines.· IT literate – specifically in Microsoft Office and proficiency in accounting systems, ideally Sage Accounts, and spreadsheets.· Ability to provide financial outputs to support fundraising and donor management.Desirable· Accounting Qualification (CIMA, AAT, ACCA) or willingness to work towards.· Ability to make a contribution to the work of the team whilst being able to work independently;· Ability to remain calm under pressure;· Understand procedures and legislation relating to
