Job brief
Looking for a ‘HR Co-ordinator’ for BMC Software, Bangalore (www.bmc.com) having Post-graduation degree along with 1-2 years of experience in handling HR Operations and administrative support. Major responsibilities would include handling new hire induction & exit formalities, Admin & compliance related activities, program managing the events for cultural celebrations/sports/CSR activities, training co-ordination.
Responsibilities
New Hire Induction & Exit formalities:
On-boarding Induction
Managing the Personal files of the Employees
Exit Formalities
Admin related:
Co-ordinating with Ask HR team for issuing letters to the Employees for Visa process, Address proof etc.
Coordinating with Ask HR Team for handing over the Anniversary gifts to Employees
Coordinating with Ask HR Team for handing over Baby Hampers to the Employees
Couriering the Anniversary bills to Payroll
Meeting rooms logistics
Scanning and sending the Anniversary re-imbursement bills to Payroll
Sending I-expense bill to the Accounts Payable team on weekly basis
Co-ordinating for In house training logistics, attendance maintenance, Feedback forms
Co-ordination for any VC interviews requests from staffing team and F2F scheduled interviews in Bangalore
Managing NPS, Zeta helpdesks
Co-ordination for Zumba classes at Bangalore
Admin related Adhoc Requests from managers
Surveys created in Survey monkey and send the consolidated data to the concerned person
Co-ordinating with ASK HR team for PF withdrawal, Transfer and opening new account.
Co-ordinating with legatrix
Program managing the events of Cultural/Sports/CSR:
Vendor Selection and Co-ordination
Communication to Employees related to events
Organising the Events
Survey post the event and analysis & discussion with committees
Scheduling the monthly meetings with the 3 committees and sending the updates to the members
E. Training Coordination Candidate will be responsible to ensure a smooth execution of all training programs organized in house/external ones as well.
Candidate should possess excellent coordination skills, should be proactive and flexible in his/her approach. Candidate should be hands on, on MS Excel and PowerPoints.
Coordination will be a good part of this role which would involve- sending training needs identification emails, collating of training requirements, connecting with the training vendors to ensure training details are shared on time, booking trainings rooms, sending calendar invites, setting up pre discussion calls, collecting attendance and feedbacks for every training programs etc Candidate will be maintaining training MIS, invoices, raising web reqs, cross charging the training cost every quarter and ensuring high level of compliance is maintained.
Candidate will be expected to work very closely with L&D team in Pune and ensure location does not become a constraint for his/her execution.
Requirements
Proven experience as HR Co-ordinator positions – 1 -2 years of experience in a similar position
Full comprehension of office management systems and procedures
Excellent knowledge of MS Office (Microsoft Excel, PowerPoint, Word and Outlook)
Excellent Proficiency in English
Exemplary planning and time management skills
Up-to-date with advancements in office gadgets and applications
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality
Graduation degree; additional qualification of MBA would be considered an advantage
Energetic, self-motivated; attentive to details and able to work in multi-task environment
Able to prioritize and meet tight schedules and targets
