POSITION OVERVIEW

Infrastructure and Health Support Services, a division of Canberra Health Services, are responsible for:

The Infrastructure and Health Support Services, Facilities Management (FM) Branch have a dedicated team that covers a diverse range of functions. The Branch is responsible for planned and reactive maintenance, asset management, minor works upgrades, utilities and contracts and leasing for the Canberra Health Services property portfolio across the ACT.

The Manager Business Operations reports to the Director of Business Operations and will undertake activities to support the delivery of planned and reactive maintenance, and repairs, of satellite Health facilities located across the Territory.
This position reports directly to the Director of Business Operations and works in close liaison with other directors and senior staff in the Facilities Management Branch, the broader CHS Directorate, and other Directorates.

DUTIES
Reporting to the Director of Business Operations, and working closely with other FM and IHSS staff, the position will be responsible for:
1. Management of the FM administration team, inclusive of mentoring, performance management, business continuity, training, and professional development, and ensuring they are delivering a high level of administrative performance, support and customer service.
2. Coordinate administrative support across all areas within FM including, but not limited to:
a. Provision of secretariat support at Governance meetings.
b. Tracking TRIM correspondence to and from the IHSS Executive office.
c. Management and updating of the FM leave planner.
d. Development and management of the FM training register and providing support in the application, approval, and coordination of training requirements.
e. Management of the RAPID and IAM induction process for IHSS inductees and companies.
f. Coordinating and managing reviews and updates to all FM procedures and processes to improve business operations and efficiencies.
3. Manage the FM administration inbox, including the development and oversight of processes relating to responding to enquiries, raising work orders, processing invoices, filing service reports, processing timesheets, etc.
4. Coordinate Corporate Plan Reporting across FM and other IHSS business areas, ensuring information is presented to the EGM in a timely and efficient manner, and that key data is distributed and reviewed with stakeholders across IHSS to develop business improvement activities and processes where required.
5. Develop and maintain the FM SharePoint Site and relevant information including information and links available on the CHS intranet and internet sites.
6. Review and maintain the IHSS SharePoint site and relevant information including links available on the Canberra Health Services intranet and internet sites. This may also include working with stakeholders to improve productivity with the use of the IHSS SharePoint Site.
7. Analyse and provide advice on report on both across FM service and divisional specific performance reports (finance). Develop and implement systems to improve the quality of relevant data across the Division. Identify trends in data and identify and address areas in need of improvement.
8. Undertake other duties appropriate to this level of classification which contribute to the operation of the section.

Position Requirements/Qualifications:
Highly Desirable:
Experience in Microsoft SharePoint.
Experience managing budgets and financial reporting requirements.
Note: This is a temporary position available for six months with the possibility of extension. Selection may be based on application and referee report only.
