Space Planning Executive
Work Dynamics

What this job involves:Space Planning:
Support all aspects of space analysis, utilization and headcount reporting, seat allocation, change initiatives, client communication, liaising with contractors, tendering and the coordination of relocations (MAC & Mass Moves) & office space reconfiguration
Responsible for the coordination of project-based accounting support.

Auto CAD draftsman:
Should be proficient in Auto CAD tool.
Create Edit new building Floor layouts.
Create Edit furniture components & lab designs.
Maintain Update site drawings in the planning tool “TRIRIGA”
Manage TRIRIGA for Pan India Sites.
MACMass Move
Execute moves
Provide data to space planning manager pertaining to moves
Receive and process tickets related to move new cube allocations
Update ticket details in excel format
Share the consolidated list with JLL teams
Respond to end user with progress of tickets raised and ensure tickets are resolved with in stipulated time
Plan mass (team) moves as requested by team heads
Forward move details to move coordinator
Match move data with executed moves.
Conduct cubelab utilization audits for the buildings
Guide coordinator to carry out audits and cross verify report
Check data updating in TRIRIGA.
Ensure data updated in excel – Master seating tracker.
Facility rounds to check signage’s, cube status, new hire
Raise tickets for snags observed
Prepare cube variance report
Delegate and monitor weekend moves
Update and sustain space planning weekly and monthly reports.
Prioritizing the facilities’ needs
Working with both the Space Planning manager and the assistant space planning manager, you’ll oversee the property’s day-to-day operations and ensure that all administrative functions, security issues and facility services are covered. Likewise, you’ll strive for continuous improvement in the process.
You’ll also keep an eye out on the property’s supplies and ensure that it has adequate stocks and materials to keep the operations smooth like a well-oiled machine. Likewise, you’ll manage supply and service contracts as approved by clients.
In addition, you’ll help mitigate risks by taking part in emergency evacuation procedures, and handling crisis management and business continuity plans. You’ll also be on top of health and safety issues that may arise, and actively participate in reviewing them.
Also part of your mandate is to monitor the property’s budget. As the person in charge, you’ll make sure that there’s enough petty cash to support operations. You’ll also see to it that vendor invoice processes comply with standards.
Going above and beyond expectations
Client satisfaction is second nature to the person in charge. In this role, you’ll take on difficult issues and seek out opportunities to improve operations. You’ll also be constantly in tune with the team to achieve key performance metrics and meet service level agreements.
In addition, you’ll carry out routine service audits to ensure that the team maintains its overall performance. You’ll also be in charge of creating stock reports, meeting minutes and monthly management reports to the clients.

Degree/ Diploma or equivalent qualification in Design or Architectural Engineering/Project Management or Interior designing.
Minimum 3 to 5 years’ experience in office facility space planning.
Strong administration and organization ability with office space planning and CAD experience.
Strong knowledge of facility operations
Playing a key role, the ideal candidate holds a technical qualification and at least three to five years’ experience in Space Planning. You must also demonstrate good working knowledge in occupational safety, as well as aptitude in client-centric operations.
Solid background in team management
