Job Summary:
Manage entire shipping activities and support external and internal customers in processing dispatch activities and order related queries. Work hand to hand with Quality, Finance, Sales team & other related teams in generation of shipping documents. Ensuring all the shipping documents were generated as per order confirmation of CS team and liaise with CS team for order dispatch follow ups as per confirmed dates. Has to work closely hand to hand with all related departments for sending out samples to customers. Should support and liaise with Warehouse team for daily shipping activities. Shall execute warehouse activities when need arise.

Essential Duties and Responsibilities:
Handling shipping related queries from internal and external parties.
Shall cross verify details of sales order and order confirmation and execute all shipping related document activities including DO, Pick List, Packing List generation.
Liaise with Finance team for Invoice generation and Quality team for shipment release.
Liaise with global customer service team to ensure on-time deliveries.
Ensure and support warehouse team in shipping out consignments to customers with all necessary documents by strictly adhering to interstate policies. Liaise with the Shipping Line / CHA / Forwarder for export shipments.
Shall liaise and get required waybill copies from customer service team / customer end for local dispatches and shall ensure all the required details are readily available before execution of shipping documentation.
Shall liaise with customer service team / customer / Courier / Transporter for truck / vehicle placement.
Ensure all documentation is handled properly and filled accurately.
Constantly review pending sales order and promise dates of deliveries and follow up with respective team for shipping out consignments to customers on time.
Shall maintain and update shipments dispatch related information accurately.
Prepare periodic reports on sales orders and dispatches.
Carry out duties in accordance to all related functional SOI’s as per company policies.
Constantly review process flow of shipping activities and shall smoothen the process.

Quality: The job holder is aware of his/her special responsibility for quality and conducts his/her activities in accordance with the Company quality policy at all times.
Support and contribute actively in lean Sigma programs and activities towards delivery of the set target.
Be prepared to represent colleagues in their absence in a professional way. Substitute especially Warehouse Executive in his absence in regard of all warehouse related activities.
Ensure that all operations in your area of responsibilities are compiled as per GMP, ISO 9001, ISO 15378 & ISO 13485 (as per current version) etc.
SOI: The job holder is aware of all relevant SOPs as per Company as they are related to the position covered by this Job Description.

Safety: The job holder is aware of his/her special responsibility towards health and safety in accordance with the company’s safety policy at all times.
Proper supervision of work and immediate action on unsafe practices.
Proper use of Personal Protective Equipment (PPE) at all times
Work safely by not causing unsafe conditions or doing unsafe acts
Basic Qualifications:
Degree / Diploma preferably in Customer Service / Sales / Supply Chain / Logistics
Minimum 2 years of relevant experience

Preferred Knowledge, Skills and Abilities:
Good written and spoken skills in English.
Experience in MS Office, SAP (SD) module shall be an added advantage.
Should have been closely working with MNC manufacturing team, positioned in plant shall be an added advantage.
Experience in pharmaceutical / medical device manufacturing / cGMP environment / SEZ would be an added advantage.

Travel Requirements:
Must be able to travel up to 10% of the time
Physical & Mental Requirements:
Physically fit & healthy

Competencies/Authorities
Should be able to work independently.
