Summary of Job Responsibilities:
The Proposal and Contracts specialist is responsible for the preparation of various deliverables like Proposal, RFI, Contracts, and support for resourcing tool, budgeting tool, and salesforce maintenance within the RWA Group. This position provides both technical support and project coordination to ensure timely and accurate deliverables. A team player with strong industry experience works closely with the sales teams, Subject Matter Experts (SMEs), and Resourcing team to meet desired goals.
Job Duties & Responsibilities:
Provide technical support to services field sales & subject matter experts and manage the proposal process in order to win new business opportunities.
Analyze client needs based on requests for proposals (RFPs) and requests for information (RFI) and present the relevant Cytel capabilities and offerings to position Cytel as the preferred vendor.
Organize internal team meetings to collaborate with the field sales team, SMEs, to strategize, prepare, and provide timely and accurate deliverables.
Coordinate responses to requests for proposals/information (RFPs/RFIs), bid defenses, work order preparations, payment schedules, and amendments to existing work orders, etc., in collaboration with Heads of BUs/PMs/Leads (operational support team), and ensure that the appropriate internal teams are present at meetings.
Prepare proposals/work orders/amendments using in-house tools for review and approval by the operational support team and appropriate Cytel manager.
Prepare RFP/RFI text, including any technical written material supplied by the operational support team and third-party vendors.
Review and validate RFP/RFI/work order/amendment for accurate content, consistent format, and compliance.
Ensure responses to RFPs/RFIs are coherent, persuasive, and delivered on time and in line with the request itself, and the appropriate Cytel review & management approval process.
Assist in the handover of won opportunities from business to operations, as requested. May include presence at the internal handover meeting and, where applicable, at the client kick-off meeting (and any follow-up activities to amend the budget in collaboration with the operational team)
Strong understanding of the contracting Process. Prepare contract documents, including start-up agreements, Work Orders (WO), Change Orders (CO), from Cytel templates per guidance and amend the project budgets as required.’
Facilitate review and approval in accordance with relevant policies and procedures
Participate in contract review meetings with clients and project managers.
Review client contractual templates and edit as appropriate to ensure Cytel’s positions are covered and to highlight areas of potential concern
Customize Cytel templates to meet client template requirements
Ensure contractual documents are processed and maintained in relevant databases
Create, build and manage excellent client and Cytel relationships.
Contribute technical information and strategic insights and suggestions to improve processes and quality of deliverables.
Qualifications and Experience:
Minimum Education: Bachelor’s degree in business management, clinical sciences, statistics, or equivalent experience in job performance.
Minimum Work Requirements:
A minimum of three to five years of prior experience in a proposal/budgeting/contracting group at a Contract Research Organization (CRO) or within a pharma, academic, biotech organization in clinical research (functional or team leadership).
Experience in CRO contracting and surveillance.
Experience in proposal generation (budgeting and proposal writing).
Willingness to also work substantial hours in EU and NA timezones
Skills:
Strong understanding of clinical trials.
Demonstrated understanding of the customer decision-making processes, marketplace requirements, and the competitive environment, with the ability to position and differentiate products for maximum market penetration in the clinical trial space.
Characteristics:
