Job Summary
The role sits within Scholarly Communications Services in Library Services and reports to the Head of Scholarly Communications Services. The post-holder will work closely with colleagues in both Scholarly Communications Services and Special Collections to support our repository infrastructure and develop Library Services capacity in Digital Preservation. They will lead on implementing Library Services’ Digital Preservation Policy, further developing existing digital asset registers and supporting the procurement of a Digital Preservation System. The post-holder will devise and deliver a programme of advocacy and training, ensuring Library Services staff are familiar with principles of digital preservation and that good practice is disseminated through the academy.
They will oversee the University of Birmingham Institutional Research Archive (UBIRA) by directly managing and administering Library Services’ EPrints repository infrastructure (eTheses; eData; ePapers) and providing administrative support for research output related aspects of the University’s Current Research Information System (PURE). This will include working closely with the Open Access and Research Data Librarians, as well as the University’s Planning and IT Services departments to ensure our repositories continue to maximise the discovery and sharing of research outputs and best meet diverse funder requirements around Open Access and long term curation.
Whilst Library Services has a well-established repository infrastructure and has accumulated significant digital collections, we are at the early stages of implementing digital preservation practices. Building on existing standards and recognised good practice, the post-holder will continue ground work already begun to ensure that Library Services is able to progress to full digital preservation with confidence. It is anticipated that future repository infrastructure, digital archive access and digital preservation systems will be closely intertwined. Supported by Scholarly Communications Services and Special Collections staff, the post-holder will ensure the coordinated development of effective processes for the deposit, discovery and preservation of our digital collections.

Main duties
Digital Preservation (50%)
Develop and implement a Digital Preservation service, initially for long term management of Library and Special Collections digital assets; but with potential to scale up to meet the digital preservation needs of other University departments, by:
Developing specifications for the procurement of a digital preservation system for born digital archives, repository collections and other digitised content across all media
Exploring, evaluating and presenting recommendations on the most effective solution for preservation, discovery and access to Library Services digital assets through integration with or replacement of existing infrastructure
Working closely with IT Services and external vendors to implement a digital preservation system
Expanding on existing work to create and maintain a sustainable Library Services Digital Asset register
Taking a risk managed approach to prioritisation of digital preservation activity in consultation with Library and Special Collections colleagues
Developing policies and procedures for the effective preservation of digital materials for Library Services
Working closely with the Head of Scholarly Communications Services to develop and embed digital preservation tasks and workflows into the team’s day to day activity
Raise awareness of Digital Preservation issues across a range of University stakeholders and advocate for good practice, by:
Writing and contributing to briefing papers for Library Services and University management
Creating non-technical briefings on digital preservation benefits and progress for a range of University stakeholders
Providing advice and developing guidance for digital asset creators to facilitate long term preservation
Developing a digital preservation training and advocacy programme for library services, including active delivery of training sessions
Maintaining awareness of best practice and staying informed about developments within the growing field of digital preservation
Provide ongoing management of Library Services Digital Preservation Service, by:
Actively engaging in digital preservation workflows and delegating digital preservation tasks appropriately
Working closely with colleagues in Special Collections and Library Services to identify digital preservation priorities and advise on digital preservation issues with both existing and potential new collections
Leading on the projects to ensure long term preservation of key collections and new acquisitions
Utilising digital preservation expertise to field relevant enquiries from stakeholders across the University, including providing advice on long term preservation of University digital assets not currently part of Library or Special Collections
Actively engaging with the work of the Digital Preservation Coalition and other professional networks, representing Library Service as appropriate
Extracting, collating, analysing and presenting management information on digital preservation activity
Repository Management (30%)
Ensure provision of a fit for purpose research repository infrastructure for the University of Birmingham by:
Administering, maintaining and overseeing development of the University’s EPrints-based repository service
Implement, document and maintain effective quality control standards to ensure repository content is accurate, reliable and processed in a timely manner
Responding both to direct enquiries and queries/issues submitted via the IT Service Desk
Maintaining good awareness of legislation and policy requirements impacting repository use
Promoting discovery and use of digital assets held in UBIRA/Preservation systems by:
Maintain oversight of metadata schema and their application in our repository/preservation infrastructure to maximise consistency, accuracy and discoverability
Acting as first point of contact for requests to access / reuse digital assets held in our repository/preservation system and working with the University Legal Services team to draw up reuse agreements where appropriate
Maintaining good awareness of licencing, copyright and Public Sector Information (PSI) legislation as it pertains to digital archives
Systems Management and Development (20%)
Ensure preservation and repository systems remain fit for purpose by:
Liaising with Digital Preservation system users, stakeholders and service providers to gather feedback and identify service improvements
Working closely with the Open Access Librarian, Research Data Librarian and Head of Scholarly Communications Services to identify and prioritise key repository integrations/developments required to meet funder requirements and/or improve service efficiency
Proposing and implementing service improvements according to established procedures via Library Services and University committee structures
Work with IT Services, system vendors and third parties to coordinate the implementation of repository/preservation system enhancements
Monitoring IT Service Desk calls relating to repository/preservation systems
Working closely with IT Services and system vendors to resolve technical issues with Library Services managed repository and digital preservation systems
Ensure upgrades to repository and preservation infrastructure are tested appropriately prior to implementation:
Developing and maintaining appropriate testing scripts for each system / contributing to testing scripts for the University CRIS system
Negotiating appropriate upgrade schedules with system vendors / IT Services
Reviewing planned updates, revising testing scripts appropriately and ensuring the impact of significant changes are adequately reviewed and communicated to system users
Person specification
Formal education to degree level
Proven experience of delivering successful projects through to completion
Experience working with repositories and/or digital archives
Experience of managing metadata, bibliographic data or of cataloguing
Experience of preparing and delivering training packages to a range of audiences
Experience producing documentation to support end-users
Experience writing reports and summarising specialist information for a non-technical audience
Experience of successfully managing relationships with third party vendors
Experience of working within a higher education or library/information environment
High level of IT Literacy
Knowledge of digital preservation theory, best practice and trends including content management, access, migration and preservation
Knowledge of common metadata standards used in repositories and digital archives
Excellent oral and written communication skills
Good interpersonal skills
Strong ability to prioritise and schedule own and other’s workloads in the face of conflicting demands
Ability to work within a team environment and lead/coordinate team members to achieve project goals

A postgraduate qualification in Archive Administration/Records Management or Library and Information Studies
Experience managing the digital preservation of information resources
Super-user experience working with library or archive management systems (e.g. CALM, EPrints, Primo, Alma)
Experience of Project Management
Experience administering systems
Experience supporting the design and deployment of system testing plans
Understanding of copyright and other legislation as it pertains to Digital Archives
Able to advise on technical digital preservation standards and their role in a digital preservation service
