Job Description : The responsibilities include the following

The Facilities lead – Facilities Management, Office Administration and employee experience would be responsible for overall facilities management and administrative aspects of the function of the company.
Must have good exposure in end to end Admin & Facility, security, transport, budgeting, process management, housekeeping, compliance, space utilization, general administration.
Must ensure to provide 24×7 secure, safe and conducive working atmospheres to all the employees and will ensure zero down time of the facility
Responsible for overall employee experience
Experience in Managing a team of contracted staffs
Motivate and supervise, ensure goals and targets are met and KRAs are clearly defined, ensure team meets the defined SLAs for end to end FM services
Plans and manages complete admin and facility management protocol inclusive of transport, canteen and security at all locations.
Oversee all administrative and facility management Transactions inclusive of existing projects and facilities and assist in managing in new CAPEX projects as and when necessary.
Responsible for regulatory, statutory reporting & approval that are needed for this function.
Handle External vendor partners and service providers for execution and maintenance of MEP, Security, cafeteria and transport activities
Execution of the necessary sampling, checking and oversight of vendor management requirements in line with the Vendor Risk Management policy of the company and in keeping with the requirements of the police, state and central government.
Monitor, groom vendors and service providers performance regularly to ensure quality of service/ delivery within specified timelines.
Manage employee travel and Office events
Experience in handling various facets of facilities management – IFMA, HK services, Cafeteria and F&B services, event management, Physical security services, employee transport, projects, Building and govt authorities’ liaison
Ensure that systems and procedures as laid down by management are strictly complied with & to also provide inputs for possible improvements in the service. Organize, analyse, interpret and evaluate results and provide practical cost-effective solutions.
Identify and negotiate with new vendors, managing yearly increments and invoice cycles.

Must have excellent interpersonal and people management skills
Strong organizational, planning and project management skills
Consultative and client-centric approach in service delivery, supported by strong problem-solving skills
Ability to grasp, understand, independently handle new, existing projects and ideas.
Ability to conduct post repair and maintenance audits independently
Knowledge and Skill in basic financial audits after work completion
Good presentation skills (MS Power Point)
