Main Purpose:

To manage the Group’s Car Fleet Process, Hygiene, Recycling, Energy, Environment and Facilities Services for On-Site Facilities

Roles and Responsibilities:

CAR FLEET MANAGEMENT

Manage Group car fleet relationship with various car fleet partners through review meetings incorporating such matters as choice and service performance
Manage the new car induction process
Establish Service Level Agreements with any new car fleet partners
As required, manage the servicing process for senior managers
On a monthly basis, review budget against actual costs and take necessary steps to redress any variance
Log & manage car insurance claims and company car repairs
Resolve any matters raised by the management team relating to the car fleet
Report on car fleet metrics to senior managers

FACILITIES SERVICES MANAGEMENT

Provide support to Senior Facilities Controller in reviewing contracts for Hightown and Hyde Park contractors
Review performance of various Hightown and Hyde Park contractors against Service Level Agreements (SLAs)
Organise and manage scheduled review meetings, including on-site meetings with the wider Logistics teams, and any derived actions
Review logged maintenance calls to understand trends and make necessary changes to reduce levels
In conjunction with the Senior Facilities Controller, review maintenance call completion rates within the department and take any remedial actions
Ensure compliance with Facilities App across the Group
In conjunction with the Business Transformation and IS teams, develop technological roadmap for the Facilities Department
Report on relevant facilities service metrics to senior managers

HYGIENE MANAGEMENT

Manage relationship with warehouse/head office hygiene/cleaning contractors
Ensure SLA of warehouse/head office hygiene/cleaning contractor is maintained
If performance is not attained, ensure corrective action is undertaken and costs are re-addressed
Organise and manage review meetings and any derived actions
Undertake SLA review process for hygiene contract
Review best practice techniques to ensure optimum standards
Report on relevant hygiene metrics to senior managers

RECYCLING MANAGEMENT

Manage relationship with Hightown and Hyde Park recycling contractors
Ensure SLAs are maintained
If performance is not attained, ensure corrective is undertaken and costs are re-addressed
Organise and manage review meetings and any derived actions
Undertake SLA review process for recycle management contract

ENERGY MANAGEMENT

In conjunction with the Group Energy Manager, assist in the negotiation process with energy providers
Undertake initiatives to seek to reduce energy usage
Undertake regular environmental audits to ensure the Group’s policies are adhered
Organise and manage scheduled review meetings and any derived actions
On a monthly basis, review budget against actual costs and take necessary steps for any variance
Develop KPIs in order to measure and control energy usage throughout the Group
Report on relevant environmental metrics to senior managers

CHANGE MANAGEMENT

Assist in various management projects
Assist in future off-site facility developments

HEALTH & SAFETY

Ensure that all matters relating to Health & Safety are adhered to

MISCELLANEOUS

Any other duties of a similar nature and level of responsibility as may be allocated from time to time.

Essential Criteria

A-Level or equivalent
Facility Management Experience
Ability to work cross functionally with an agile mindset
To be able to demonstrate the ability to influence a cross functional/divisional team
Plan and prioritize effectively
Ability to negotiate and manage contracts
Excellent communication skills
High level of accuracy and attention to detail
Experience of all Microsoft Office platforms particularly Microsoft Excel & Microsoft planner
Full valid UK driving licence

Desirable Criteria:

Degree Level or equivalent
Fleet Management Experience
Management of Team Experience
Budget Management Experience
MHE Management Experience
Change Management Experience
Recycling Management Experience
Experience in an operations/warehouse facilities department
Project management skills

Applicants should note that based on the response, the Company may increase the shortlisting criteria.

This is a full-time position working 37.5 hours per week, Monday to Friday, from 8am to 4pm, however flexibility is required with regards to hours of work.
