Job Description:
This position provides project support to the Consulting business unit relative to the administration of reports, letters, presentations, contracts and other prospect and client deliverables. The position also supports the administration and coordination of local office recruiting and onboarding activities. This position requires extensive people, communication, project coordination, organizational and process skills; along with knowledge of the internal business practices and priorities to support multiple projects with a high level of focus on quality, accuracy and confidentiality in all work products. The position requires a high degree of technical competence in Microsoft Word, Excel, PowerPoint, and other applications. Reports to the GS Project Services Leader and is a member of the Global Services Team.
Project Services Support
Generate contracts in the contract management system and handle associated processes including obtaining signed copies and tracking contract expiration dates.
Support Customer Relationship Management (CRM) data entry and opportunity updates including report creation and data summary analysis.
Input lead generation data into CRM from business development campaigns and provide data analysis and reporting.
Prepare and distribute various communications, invitations and client correspondence associated with client work and business processes.
Support various business reports including data analysis and reconciliation as well as summarizing trends and providing recommendations.
Develop, edit and format letters, spreadsheets and other prospect or client deliverables.
Prepare, edit and format PowerPoint presentations using advanced features and functions.
Create, edit and format .pdf files and forms using Adobe Acrobat Professional.
Maintain an efficient filing system for documents in accordance with firmwide records system.
Support SharePoint site and Teams content management and administration.
Establish and encourage process improvement to provide effectiveness.
Support various projects from start to finish using Microsoft software and other firm systems or web-based applications including working with others to ensure quality and timely completion and document management.
Utilize tracking systems to ensure all time and materials are recorded, project work and type are tracked, and project instructions and client interactions are fully documented.
Office Activities Coordination
Assist with local office onboarding coordination activities.
Assist with local office recruiting processes including scheduling interviews, logistics and associated activities.
Support local office employee events, activities and processes.
Manage and support meetings, including logistics, technology, agendas, scheduling and communication, maintaining information, and developing and distributing materials.
Support and produce webcasts and conference calls, including scheduling and communication, and preparing and distributing materials.
Qualifications:
Five years or greater of administrative work experience in a professional services and/or consulting firm environment.
Bachelor’s degree preferred in business administration or related field.
Advanced level of expertise in Microsoft Word, PowerPoint, Excel, Adobe Acrobat Professional, web-based applications, and database solutions are required with ability to quickly learn other programs and applications as needed. Working knowledge preferred in Microsoft SharePoint and Visio.
User knowledge of office technology equipment such as videoconferencing, audio visual systems and multi-functional devices.
Experience producing web meetings and using meeting technology including audio visual equipment, industry software and web and video conferencing is required.
Ability to manage key assignments of confidential nature and exercise a high level of confidentiality in all information, work products and communications.
Professional presence, positive attitude and exceptional client service skills, with ability to build professional and respectful working relationships at all levels internal and/or external to the organization.
Highly effective and polished verbal and business writing skills and competency in proofreading, grammar and attention to detail.
Excellent project coordination and organizational skills with the ability to manage multiple projects to proactively respond and keep business leadership apprised of critical issues.
Agile and flexible with ability to demonstrate openness to new challenges, opportunities and continuous learning.
Excellent process orientation and analytical skills to identify and report trends and make recommendations.
Highly effective consulting and forward-looking skills to understand client business needs and recommend and implement solutions.
Strong decision-making, critical thinking, problem solving and analytical skills with ability to manage data, identify and report trends and make recommendations.
Strategic awareness and ability to bring ideation and efficiencies to projects and processes and champion efforts related to change management and operational effectiveness.
Ability to understand and strictly adhere to the brand and quality standards and procedures established by Crowe.
Desire to leverage technology to solve business problems, and ability to guide others on use of software, tool and process.
High energy level with excellent interpersonal skills and ability to function in fast-paced, high stress situations attributed to tight deadlines and multiple client needs or team needs.
Additional Requirements:
Able to work flexible hours and schedule when needed based upon project work and peak busy times.
Estimate an annual average of up to 5% overtime.
Ability to travel for meetings and training sessions, if needed.
Reliable and dependable with an excellent attendance and punctuality record.
