Job Description : Travel Management:To arrange local /outstation transport and accommodation for all employees & guests/visitors efficiently at Guest house/Hotels at various locations as per the policy, with necessary approval and send confirmation to the end users.To-coordinate with service provider on routine basis to ensure timely confirmation via SMS and update to end users for smooth functioning.To follow up with transport vendor for routine issues related to bus service or hired cars.Time Office Management:To allot the access card to the (new joinees) for Biometric Attendance system.Maintenance & routine monitoring of registers and attendance of all contract deputies at site ( like housekeeping , Utility operators, etc).Processing of Invoices-:To review & process admin service invoices (all facility related invoices) and raise their purchase & service requisitions on regular basis.To raise material purchase requisition for consumables as per admin department requirementsOffice Administration & Stationary:Maintenance of files, Agreements related to Admin service contract with Vendors/Contract, MOU & Service agreements in Safe -Fire proof cabinets.To assist in preparing of service contract of vendors like scope of work etc.Issuance of ID & Access card, arranging visiting cards and allocation of seat for new employee at HO.To procure & maintain inventory of stationary items and raise PR.To maintain monthly tracker sheet for all vendors to record the service lapses during the month.To follow up with vendors for any breakdowns in coffee machines, telephone lines etc (service related).To take random round of site premises on daily basis, to ensure that all workstations, cabins, Lab area, reception, Library, WC, etc (all Internal area is timely cleaned and also to check that assigned tasks are performed by the Housekeeping staffs in hygiene manner)To raise monthly PR of housekeeping and Stationary items as per requirement.Security & Visitor Management System:To ensure that all security guards at receptions and main gate are abiding to the duty assigned and all procedures like gate entry, inward or outward material register, courier entries, phone calls and visitor management is carried out smoothly.To ensure that all visitors are provided visitors pass / ID cards.Cafeteria Management:To record daily food consumption (lunch) at Canteen for all employees & guests/visitors & co-ordinate with service provider for menu, feedback and improvement in food services.To raise PR for Cafeteria consumables items as per requirement.To ensure that vending machines are refilled on time .Employee Engagement & Event Management:To co-ordinate and assist in arranging internal and external eventsMeet and organizing high delegate meetings & conferences at IC .To assist in organizing – Birthday celebrations, festival celebrations-Diwali celebrations, X-mas party, Theme days, Farewell, or other activities.Job Types: Full-time, Regular / PermanentSalary: ₹300,000.00 – ₹600,000.00 per yearBenefits:Food allowanceHealth insuranceProvident FundSchedule:Day shiftFixed shiftMonday to FridaySupplemental Pay:Performance bonusExperience:total work: 4 years (Preferred)Application Deadline: 07/03/2022Expected Start Date: 09/03/2022
