Key responsibilities
1 Ensure that all vendor invoices and credit notes are processed in an accurate and time efficient manner.
2. Review, analyses and report on invoice and claim discrepancies
3. Implement business change in accordance with plans
4. Own and drive cost transparency, audit and analysis

5. Own and be accountable for accurate cost data

6. Own and be accountable for cost reporting (Vendor Statements, Reconciliations, Cost Reporting, and Book Close activities)

7. Establishment of and follow up on relevant financial measurements for AP departments/ teams/ individuals
8. Proactive identify, analyses and evaluate potential financial risks/upsides and mitigate these with relevant stakeholders (GR/IR Cost release, Advance and Debit Balance exposure reduction)
9. Coordinate with internal as well as external stakeholders to ensure local, global and legal requirements are met

10. Participate in and support improvement projects
11. For all working capital related matters for Logistics & Services in respective Region including but not limited to management/optimisation of credit terms with suppliers also for customers if required, ensuring a positive and optimised Cash flow for Logistics and Services, by reducing exceptional vendor payments, handling the disputes function towards suppliers.
12. Check and approve the Vendor urgent and advance payments batches
13. Approving controlled pay runs post performing additional checks
14. Online approvals in Bank (CITI / HSBC etc.,)
15. Funding of the respective disbursement accounts for payments
16. Liasoning with banks for better RoE for the above point
17. Engaging with vendors for payment related matters, Payment block removal
18. Performing AP related RICC Control and ensure compliance
19. Holding off payment to vendors who are our customers as well having unsettled outstanding
20. ICP Plug reporting

Principal Accountabilities:

Management
1. Own and maintain a documented system of AP accounting policies and procedures
2. Oversee the operations of the accounts Payable department, PCC and MDM teams especially their control systems, transaction processing operations and policies & procedures.
3. Own Standard Interaction Procedures and ensure adherence

Transactions
4. Ensure that accounts payable are paid in a timely manner
5. Ensure that all Vendors are effectively managed
6. Ensure that Invoices are paid in accordance with the terms of the payment
7. Ensure relevant financial measurements for AP are met
8. Perform periodic bank reconciliations of the main Bank accounts to ensure that vendors are paid timely
9. Reconcile daily pay runs are reconciled

10. Assist with the bank reconciliations performed by the GL team accountants
11. Ensure Country specific SOPs for b/l/cargo release procedures are in place and understood by responsible staff to standardize the AP process also to avoid unwanted Urgent payment request from Operations
12. Ensure 100% accurate master data for Vendors in system

Reporting
13. Own cost reporting (Vendor Statements, Reconciliations, Cost Reporting and Book close activities)

14. Coordinate the preparation of the Period end reporting/ Management reports if any
15. Recommend benchmarks against which to measure the performance of company AP operations
16. Ensure and own KPI Reporting
17. Any other reasonable adhoc requests as may from time to time be made by the RCFO or CFO or Finance Manager.
18. Owning to close the open audit findings and AP related RICC

Projects
19. Ensure smooth transition/on time completion of Project Green and other Projects initiated by Centre

20. Standardization of E2E AP Process as per Blue Print

21. Increase in Supplier Payment Timeliness (POT)
22. Initiatives drives relating to improving working capital
Compliance
23. Set up a Control assurance framework to ensure compliance and reporting to standing orders and system of controls over AP accounting transactions
24. Coordinate the provision of information to auditors for the annual audit

We are looking for
Position Specifications:

Graduate, ideally Finance and Accounting.Job Knowledge & Competency;
Understand the Operational business processes across Logistics & Services businessAt least basic knowledge of Operational concepts internally and externallyA minimum of 5-10 years’ experience in shipping or operation financial role.Some leadership skills and proven people management experience will be added advantage.Excellent verbal and written communication and presentation skills.

Manage performance management of human resources who will support the role
Technical skills:

Track record of delivering all aspects of accounting/systems controls across a variety of activities in a business
