Job Description : About Role: This is a Critical Role that falls under the Chief of Staff department, where you will be working with Blockseed Executive team of several Ivy League, IIT, and fun accomplished management and leadership moving and stationed across the globe. We are starting to develop this system for the CEO and COO at the moment, and there is an open position for COS to grab internally. The aim is to make operations around life and work easy by running the executive’s routine and daily calendar. You will have great authority and will learn a lot in several departments like supply chain management, sales, coordination, planning, and data analysis along with strategic insights by the virtue of proximity to the executive team however confidentiality, liability, and responsibility will also scale accordingly.Basic Requirements: Experience: 3-5 YearsPreferred Roles: Front Desk Executives, Hotel Executives, Airline Executives, Other ExecutivesAssociated Role: Front Desk Executive/Executive Assistant/Administrative Assistance/Data Entry/Research SpecialistEducation: Any Graduate in Any Specialization which requires high aptitude and soft skills.Skill Requirement and Responsibilities: Operations: – Marketing Management- Sales Management- HR Management- Routine Management- Lead Generation- Bookkeeping / Accounting- Experience with Google Suite, Microsoft Office, and social media platforms for daily postingErrands that require confidentiality: – Personal errands (purchasing gifts, writing letters, organizing events for loved ones/family members online)- Transcription (transcribing voicemail, video or audio, podcasts, etc.)- Social Media Management (Facebook, Twitter, etc)- Record personal performance data- Bills/Invoices ManagementProject Management: Running Daily Meetings, Reporting, and Schedule Management: – Admin / Reporting and generating reports- Call up and organize agenda for the day (will be templated, templates given)- Schedule Appointments- Organizing daily data/reports using Microsoft word, excel, and spreadsheets, Powerpoint)- Following up with Clients, Vendors, and other team members over email or call (sending thank you and other reminder emails)- Inbound and outbound calls for admin functions- Booking appointments/Flights/Hotels Etc.- Planning OKR, Annual Plans, and BudgetsCommunication Management- Strong communication skills, both spoken and written- Strong interpersonal skills and professional demeanor with High Reliability- Email Management/Filtering- Taking down minutes of meetings- Creating basic reports (reports on weekly tasks, deliverables, sales)Inventory Management- Procurement, Shopping- Wardrobe and Supplies ManagementAdministrative Assistance- File Management (organizing files using Dropbox etc)- Database building (eg. updating email or contact lists CRM)- Research on certain topics for blog posts, newsletters, or others- Calendar ManagementNOTE: THIS IS NOT A WORK FROM HOME OR REMOTE POSITION.
