Job Title: Manager – Purchase & Administration
Year of experience: 4-6 years
Location: Indore (Initially Can work Remote – till opening of office)
Requirements
We are looking for a Manager Purchase & Administration to support Global Procurement team and Office Admin in Indore Office. The Manager Procurement & Office Admin role will oversee the Procurement & Vendor Contracting as well as general administrative operations, functions, and activities of the office. This position will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. This role will be critical support for our Procurement and Finance team. Our ideal candidate has experience with Procurement, Contracting and Office management and can juggle various Procurement & administrative tasks in a timely manner.
Key Result Areas include:
Procurement and Contract Management (70% Bandwidth).
Drafting of Purchase order, MSA, SOW, and Vendor, and contractor onboarding documents
Purchasing Requisition tracking and status update.
Maintenance of Service Contract Database for tracking Validity and renewal process as Vendor Contract renewal
Review and renewal of Existing Contracts (MSA, SOW, PO, SEL, NDA, BCOC, etc.) for fully compliant to the organization terms and Conditions
Implement the vendor management process, Purchase management process to an effective level with an expected delivery timeline of 5 days turnaround of Purchase requisition to vendor onboarding
Assurance of DPA, GDPR, and Other Security Documents are secured from Vendors which require a dedicated team member to ensure all the vendor documentation is in place and vendor risk mitigations plans are also implemented in an effective manner.
Prepare contractual agreements using current research methods and a knowledge of an organization’s needs & goals and ability to fulfil its requirements
Review contract estimates, including proposed Service & materials, production costs, etc and determine whether they seem reasonable and accurate
Ensure that all records are accurate and up to date
Collaborate with all the stakeholders to ensure the contract is aligned to organizational requirements.
Ensure that the terms of contractual agreements are written in language that is legally binding and in accordance with the desires of the Organization.
Write contract letters and other communications and notices
Clearly explain contract terminology to interested parties in simple, everyday language
Attend meetings to assess progress on projects which are in motion, and take detailed notes to share with stakeholders
Assist clients to fulfil the terms of or terminate contracts on mutually amicable terms
Create regular status reports regarding progress on projects
Analyse & Review contract terms and conditions to verify that they are in compliance with company policies and all applicable federal and state regulations
Self-monitor progress according to the schedule of completion to submit drafts and documents in a timely manner
Proofread, edit, and fact-check legal documents for accuracy and consistency, according to a style guide is provided by the EdCast Procurement & legal team.
Purchase order Preparation
Recording and review of Purchase requisition on weekly and monthly basis.
Coordination for signing contracts, NDAs, agreements, and other company documentation work.
Procuring of company assets (laptop, mobile, tab, headphones accessories etc)
Administrative & Office Management (30% Bandwidth).
Performs or facilitates or supervise the maintenance of office equipment, kitchen equipment, including cleaning, maintenance, and repairs work like (leakage repairing of doors, white boards, chair and table repair).
Provides clerical support when needed to other executives in Indore, with assigned administrative duties such as answering phones/texts/emails, sorting and distributing mail, and preparing documents
Maintains the inventory of office supplies; orders new supplies as needed
Maintains office files; implements an efficient system for other staff to access files and records
Performs other related duties as assigned
Organizes and orders food for events, meetings, etc.
Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location and taking Care of employees coming from US or any other country
Booking car and arranging airport pick up / drops
IT Support with purchasing computers, monitors, keyboards, headsets, and maintaining back-up supply for new hires, replacements, and emergencies
Laptop coordination with vendors and employees for incoming and outgoing employees.
Asset management – Maintaining the inventory of all Asset in Indore office
Helping Employees for repairs of Assets and IT Support coordination for all Employees in Indore with IT Team.
Coordinating with vendors, partners, accounts, and bank for any payments.
Sales team contracts, printing, scan and couriering
Printing sales team invoice and couriering the same to client.
Local Vendor management – Manage relationships with local vendors, local service providers, and landlord, ensuring that all items are invoiced and paid on time
Bank work. Coordination with Bank Executive for banking work.
Performs basic filing and recordkeeping
Prepare operational reports and schedules to ensure efficiency
Ensure filing systems are maintained and current
Establish and monitor procedures for record-keeping
Ensure security, integrity, and confidentiality of data

Certification in Contract management & Office Management a plus.
Ability to multi-task.
Excellent communication skills, both verbal and written.
Enthusiastic team player with an innovative approach.
Ability to work in an aggressive and fast-moving environment where key objectives need to be met on pre-agreed timescales
Ability to work with a flexible schedule. May be asked to attend meetings on Weekends and late evenings
Willingness to work from the office as the sole person at times. Must be able to ship and receive, accept deliveries, pick up and distribute mail.
