Position Focus:
Under the general direction of the Sr. Operations Manager, YSM Central Administration Units (CAU), provides oversight, tracking and analysis of all financial accounts, including grants and contracts, for the YSM Central Administration Units. Researches and analyzes trends and issues, raises issues and recommends solutions covering the various units within the CAU organization.
Maintains and monitors the Center for Cellular and Molecular Imaging (CCMI) equipment finances to ensure that the rates and discounts offered are appropriate and accurate. Understands all aspects of the endowment allocations, ensures that appropriate funds are transferred on a monthly basis and monitors the utilization of endowment funds to ensure that departments are using their allocations appropriately. Uploads endowment data monthly for departmental review. Works with departments to answer questions and solve problems. Reports issues to YSM leadership. Anticipates, identifies and raises potential financial issues, risks and recommends solutions. Forecasts projections for monthly and quarterly budget reports with the Operations Managers for salaries, cost of equipment and operational expenses. Analyzes financial information and creates accurate and timely reports for management review. Reviews and interprets data, identifies trends or deviations from standards, explains or resolves variances; writes narrative summaries. Establishes controls to provide reasonable assurance of effective and appropriate resources use. Builds rates for the Internal Service Providers, ensures that billing is generated and monitors income against projections. Utilizes various Yale and YSM systems, including the Yale Budget Tool, to update, monitor the budgets for the various entities.
Records transactions to balance sheets, income statements and other financial records. Performs reconciliations. Develops the monthly financial checklists for the central units and reviews with faculty and unit management. Makes adjustments as necessary. Supports the submission of grant proposals with financial data. Approves IExpense, SciQuest orders within university approved guidelines. Manage special projects as assigned.
Essential Duties
1. Financial Analysis and Reporting: Analyzes information and creates accurate and timely reports that add value to the management of University operations. Applies GAAP to report out on financial conditions. Ensures financial reporting meets the compliance needs of internal and external users. Extracts data from multiple sources. 2. Financial Methods and Systems: Recommends methods to improve practices, processes and systems. Works with internal and external contacts to carry out department objectives. Provides a high level of service that cultivates and maintains strong working relationships and effectively communicates information; takes ownership and accountability for timeliness, accuracy and relationship management. 3. Accounting and Reconciliation: Accurately records enterprise or subsystem transactions to balance sheets, income statements, and other financial records. Performs reconciliations; navigates through systems and reporting tools to independently resolve routine and non-routine discrepancies. Applies entries to the general ledger or subsystems and ensures adherence to GAAP, regulatory requirements and financial reporting considerations. Communicates effectively to unit leadership. 4. Strategic Resource: Translates unit finance objectives into priorities. Reports financial issues and risks and makes recommendations. Contacts appropriate stakeholders to include in communications and approvals. 5. Compliance and Risk Management: Establishes, implements and/or maintains strong internal controls in areas of assigned responsibility to provide reasonable assurance of effective and appropriate resources use, accurate financial information, and adherence to contractual obligations and agreements, policies, procedures, and external regulatory requirements. 6. May perform other duties as assigned.
Required Education and Experience
Bachelors degree in Accounting, Business, Economics or Finance and two years of related experience or an equivalent combination of education and experience. Demonstrated application of financial, accounting and economic concepts.
Required Skill/Ability 1:
Strong computing skills and experience with MS Office Products (Word, Excel) for tracking, analysis and communication of financial information.
Required Skill/Ability 2:
Effective communications skills – both verbal and written Ability to work independently and as part of a team. Excellent customer service skills. Ability to work with a wide range of individuals.
Required Skill/Ability 3:
Ability to utilize data query tools (e.g., Brio) and prepare interpretive and detailed accounting reports and statements.

Well-developed organizational, analytical, and problem-solving skills.

Grant management experience.
Preferred Education, Experience and Skills:
Two years in accounting and/or financial analysis. MBA or MS in Accounting.
