Job Description : MINIMUM 1 YEAR EXPERIENCE IN FRONT OFFICE IN STAR CATEGORY HOTEL.COMMUNICATION: FLUENCY IN ENGLISH IS MANDATORY1. You must be fully aware on room status, rates and types on daily basis.2. You must be aware of booking situation daily and must also be aware of yesterday occupancy and today occupancy.3. Welcome all the guests with a smile and traditional greeting. Greet as many as possible to arriving and departing guests. You must intelligently engage a converse with guests.4. Ensure all guests are treated equally as VIP.5. Ensure that reception desk is adequately staffed. Be on standby to welcome guests at all times.6. You must escorts guests to room. Ensure that visitors are met and taken care of.7. Flight confirmation procedures carry out properly if any prior information from guest ends. Name of VIPs and return guests to be remembered.8. Proper uniform good appearance and personal hygiene are observed.9. Pre-registration of VIP and return guests are done promptly.10. Ensure that registration cards are accurately filled in with all relevant details and that procedures regarding passport i.e. family name, first name etc. are followed.11. All information and procedures required by the police department is recorded and supplied as and when required.12. Check that all rooms are presentable & participate in random room check to ensure standards are kept.13. Supervise the system for courtesies items to guests are ready in the room on check in.14. Coordinate with House Keeping and Engineering to minimize out of order room.15. Supervise a proper system for all mails, faxes etc, ensure to handle staff properly. Ensure that room rate and details required are properly handled.16. All guest room must have key card tag. Ensure that guest’s room keys are handled discreetly. All key replacement are tightly controlled and approved. Ensure that not unauthorized staff has access to keys.17. Ensure guest personal information is not given out to other without consent.18. Ensure that you are properly trained in handling the PABX system and switchboard. The switchboard should be manned at all times19. That the proper procedures are used for passing on of message for guests, management and hotel departments.20. Hotel information and telephone extension numbers of internal management offices are known and memorized.21. Ensure that all concern bills are paid and recorded.22. Ensure that all incoming outgoing and wakeup call are done properly and efficiently. Make sure that telephone is answered within (max) ringing 3 times.23. Ensure that cashiers are fully aware of company’s credit policies rules regarding acceptance of credit card, traveler check and foreign currency.24. Correct procedures for the checking out of guests are followed: and all cashiers are fully conversant with the use of cash register, credit cards approval systems and other machine in relation to their job.25. Proper procedure & policy followed concerning bill cancellation, rebate, paid put and other discount.26.
