Job Description : Job Scope: The Grant Accountant establishes and maintains all local, state and federal grant billing, voucher submissions and reporting on a monthly, quarterly, and annual basis. The Grant Accountant will assist program staff in meeting budget expendability. The Grant Accountant will be the liaison between the Finance Department and Shared Service Center (SSC) for all matters related to billing/vouchering and tracking allocation of expenses. The Grant Accountant will coordinate with division leadership in the daily operations of all grant programs.

Responsibilities
Grant Responsibilities
Assist with grant reporting and fiscal contract compliance for all division unit programs
Establish and maintain systems for data and information management and billing needed to support the divisions
Monitor grant compliance, in collaboration with division managers and finance department staff, to assure that activities performed by program staff are consistent with published standards, policies and procedures of the organization.
Assure accurate and timely submission of all grant reporting to funder agencies and KYC management.
Work with Quattro Accountant on processing all billing and voucher submissions.
Gathers the supporting documentation in relation to billing and vouchers and ensures it is readily available for Quattro Accountant.
Maintains relationship with funders to ensure compliance
Monitors grant spending and communicates with program directors on grant spending status to ensure financial goals are met.
Works with departments to develop initial grant/program budgets, revisions and projections.
Review accounts receivables on a monthly basis
Works to make ongoing improvements to the voucher and billing process.
Responsible for providing information documentation required during grant audits and compliance.
Masters all grant contracts and maintains updates.
Finance Responsibilities
Work with SSC to process weekly accounts payable
Assist in preparing monthly financial statements
Download, prepare and submit all receipts of state government funding to SSC
Assist in preparing yearly financial reporting – AG990, 990, CYFER and grant and other closeout reports.
Review all accounts receivables on a monthly basis
Review monthly balance sheet schedules and follow up with SSC on discrepancies
Maintain finance department files and documentation
Backup to Accounting Assistant
Administrative Responsibilities
Participate in program planning and service coordination meetings with other division leadership
Work with supervisor on development of practices and procedures related to grant compliance
Assist with the development and implementation of continuous quality improvement for the department
Collaborate with Controller, Division Directors and Program Managers on the development of the fiscal budget
Represent KYC as a participant in funder and provider meetings
Participate in supervision, and seek individual consultation with supervisor as needed.

Education and Experience
Bachelor’s Degree from an accredited college or university
Minimum of two years previous experience managing an office environment preferred
Minimum of one year experience in compliance reporting and oversight preferred
Work Environment
While performing the duties of this job, the employee regularly works in an office setting and routinely uses standard office equipment. Partial remote work options available.
Employee may have need to attend meetings or trainings in and around the catchment area.
While in transit, the employee may experience changing road and weather conditions

Schedule/Time Keeping/Time-Off
Exempt, Full-Time, 37.5 hour work week
Time Keeping – Accurately record hours worked in the electronic timekeeping system (on a daily basis when possible) in accordance with the timekeeping policy and practice.
