While diverse in nature with unique operations and customers, these businesses are run based on a common set of core values, which focus on developing customer relationships, treating associates with respect, and supporting communities.Position SummaryThe Project Coordinator, Family Services is a vital role in the organization’s structure that supports the Family Services department by serving as an administrative liaison between Family Services team members, overseeing project coordination and office management. The role requires a person who can work with aviation, security, residences, office building oversight, yachts and others in a professional manner. This person will support a broad array of administrative and project coordination responsibilities which can change frequently. This role of Project Coordinator requires a person who enjoys being a generalist, has strong communication skills, is detail orientated, is extremely organized, and wants to be involved in all aspects of Family Services. The position reports directly to the Family Services Project Specialist and will handle information that is both confidential and sensitive in nature and the utmost confidentiality, discretion and professionalism is required.Roles and ResponsibilitiesThe responsibilities that follow are not intended to be comprehensive and are intended to provide a representative summary of the major duties and responsibilities of this position.Assist the Family Services team with miscellaneous projects as they pertain to Family Services departments:Residential Projects: Help coordinate, schedule, facilitate and share communication for projects. This could include landscaping proposals, lighting upgrades in the residences, helping facilitate art purchases, installation and maintaining inventory. Also support with AV/ IT upgrades.Calendaring/ Scheduling:Book and schedule executive travel and car services. Review COVID protocols for destinations. Be available to make quick changes when necessary. Share all information in an organized way for traveler.Support Project Specialist and Yacht Liaison when they are on vacation / PTO. This will require scheduling, calendaring for Senior Director, ensuring their day runs smoothly.Submit expense reportsHelp support busy executive calendarManage team vacation calendarTrack and review house staff and security schedulesYacht: Support the yacht liaison with ordering provisions, creating guest itinerary and shipping. Assist with ordering gifts/swag as needed for Chairman and guestsFamily Office Building: Be a liaison with vendors for various projects and coordinate ongoing projects with Facilities ManagerHoliday Projects: Assist with ordering gifts for family and vendors, wrapping and shipping them to appropriate recipients.Family Requests: Help with family requests – tickets, dinner reservations, theater tickets, general information on events, homes, cars, etc.Qualification and Education RequirementsBachelor’s degree requiredMinimum of 2 years’ experienceExperience supporting high level executivesProficient in MS Office suiteRequired SkillsPositive, optimistic attitudeRequires flexibility and quick response to the Family and department’s needs. This includes being able to stop midway through a project to pick up a more pressing project and toggling back and forth to complete all projects perfectly and seamlesslyExperience collaborating effectively as a member of a teamStrong organizational and interpersonal skillsWell organized and able to prioritize, coordinate, and manage simultaneous tasks/projectsDemonstrated skills as a quick and adaptive learner able to digest substantial content and synthesize information.Ability to take initiative and work independently, while simultaneously being a pro-active team player with a flexible and enthusiastic approach of working effectively with others in a collaborative workplace.Advanced computer skills and comfort with learning and adopting technology to streamline workflows and activities. Skills must include strong working knowledge of MS Office suite, in particular Excel and PowerPoint, project planning software tools.Job Type: Part-time
