Job Description : Primary review of all orders for sales tax jurisdiction and sales tax status to ensure accurate billing for the company. Evaluate, maintain, and update sales tax information for over 3000 active customers. Assist in preparing and reviewing of outside-prepared sales tax returns (44 jurisdictions currently). Various duties related to Sales and Use Tax.Essential Job Functions:Ø Review orders for specific tax circumstances. Follow instructions for each customer; make corrections, when necessary, before release of order. Keep instructions current to help with tax procedures. Resolve all Orders pending customer response within five business days.a. Primary on reviewing of Orders on hold (AII)b. Primary on reviewing pre-invoice confirmation report daily and make all tax corrections before invoicing.c. Review next morning invoice report for tax errors, pulling invoices that contain errors, correcting said invoices and send to customer directly.d. Customers on the PBR admin hold have a complicated tax exemption that could be PO or Job specific.Ø 1st level review and verification of new customer tax documents, including working directly with the customer and state to validate. Once validated, prepare and upload to Avalara CertCaptureØ Maintain and review of customer’s tax certificates and work directly with customers and states to validate/update/maintain. Securely store documents and verifications. Confirm customer’s maintenance is updated accurately in the Prelude system and Avalara CertCapture.Ø Fully responsible to analyze and research short payments from customers related to Sales Tax. Request proper tax documents from the customer or the state necessary to process tax credit to customer’s account and update in the ERP system.Complete all necessary Sales tax research to do this:a. Validate the certificates have legitimate numbers for the following states: AZ, AR, CA, CO, FL, GA, IL, LA, MD, NC, ND, NV, NY, TN, TX, WAb. Save documents in shared drive, including the validations.c. Update customer maintenance with current tax information.d. Review open orders (SOI) for possible corrections.e. Review SOHI to confirm customer is due tax credit.f. Make appropriate notes in ARI that tax information has been updated.g. Forward all documents for review before ZTX is processedh. Enter ZTX.i. Enter tax credit and forward all documents to supervisor.ii. Process ZTX Debits if customers request tax to be added. Revise invoices as needediii. Timing – Must complete all research within two business days for credit card orders. Clear short payments on account by end of each month.Ø Monitor Sales Tax inbox – ensure all emails are addressed dailyØ Responsible for speaking with both internal and external sales staff and customers via phone and/or email as needed for various tax related questions. Make appropriate notes in the system and/or customer maintenance files in the ERP system.Ø Contact sales tax agencies when necessary. Obtain advice on handling various sales tax issues and concerns; maintain a file of research.Ø Performs the lead role in assisting supervisor to review outside-prepared sales tax returns on a timely basis each month. (Currently 44 are prepared by Avalara for Talley).Ø Gather reports and tax certificates for the Tax Supervisor for all sales tax audits. Assist auditors when necessary.Ø Update and maintain tax desk proceduresØ Additional job functions may be added and/or re-assigned as workload dictatesKnowledge, Skill and Experience Required: 1. Minimum Education (or substitute experience) required: Bachelor’s Degree2. Minimum Experience required: Two years with Sales Tax3. Experience working in Avalara CertCapture, Avalara AvaTax CertCapture or other Avalara products preferred4. Skills Required: Reading, Spelling, Computer Skills, Accounting Skills, Interpersonal Skills5.
