Our Vision: To unlock the potential in everyone.Title: Staff Accountant IIClassification: Full time, exemptPrimary Purpose: The Staff Accountant position advances and supports the mission of The Music Settlement through the following actions:Provide accounting support to the Director of FinanceProcess payroll and maintain related documents and filesManage system user access for software and hardwarePrepare journal entries and reconciliations for general ledger accountsReports to: This position reports to the Director of FinanceEssential Accounting Duties and Responsibilities – Payroll: Collects, records, and files timesheets for faculty and staff, verifying appropriate approvalProcesses payroll for all employees and produces payroll reports in accordance with organizational policy and applicable government regulationsUpdate employee records for new hires, changes in address, tax status or other profile attributesTracks paid time off (PTO) and to ensure accurate record-keeping, and adherence to policiesReviews and distributes annual Employee Wage and Tax Statements (Form W2)Prepares journal entries to record payroll-related expenses in the general ledgerMaintains and audits personnel files for all employees to ensure appropriate record-keepingProvides access to employees for online payroll information portalEssential Accounting Duties and Responsibilities- General: Prepares and enters daily, monthly and year end journal entriesSubstantiates financial transactions by auditing documents and other supportsPrepares monthly reconciliation for major G/L accounts with supporting detailsSecures financial information by completing data backups and filing documentsParticipates in the month-end and annual accounting closing processSupports the outside auditors and provides required detailed audit schedulesAssists in the preparation of the Budget and inputs detail monthly budgets into the accounting systemAssists with entering historical and A/P data into the Financial Edge NXT systemKeeps abreast of changes in accounting policy and regulationsComplies with federal, state and local financial requirementsOther duties as assignedEssential duties and responsibilities – IT & Other Administrative: Manages the maintenance and access for the organization’s information systems and hardware, including the set-up of new accounts, trouble-shooting of computer hardware and software problems, etc.Works with the VP of Finance & Administration to manage the relationship with the contracted third- party IT services provider. Serves as the internal first point of contact for IT issues to solve simple problems and then coordinates the contact with the IT service provider for dealing with the more complex issues.Manages the telephone system and vendors, including training of use for new employees, review and approval of telecommunication provider invoices and preparation of accounting distribution of charges.Assigns voicemail numbers, extensions and email accountsAssigns copier codesOrders office supplies for the departmentsContacts necessary vendors for equipment repairsManages copier contract relationship and new contractsEducational Requirement: Bachelor degree in accounting or equivalent degreeExperience Requirements: 2-3 years accounting experience requiredPrevious payroll experience requiredExperience in a non-profit organization preferredDesired Qualifications: Accounting and reporting skillsDetail orientedEfficient time management skillsExperience with Microsoft office suite applications (intermediate or advanced)Experience with 3rd party payroll services preferredBasic knowledge of IT hardware and software set-up and maintenanceAbility to adapt to various financial and enrollment software packagesAbility to maintain strict confidentiality of all financial informationThe Staff Accountant must personally adhere to all established personnel policies and practices of The MusicSettlement.
