Job Description : Job Description/Roles & Responsibility:Summary:Progressive manager with broad-based achievements in Facility Management, Security, Client interface, Stake Holder Management, and problem-solving.Effective planning and organizational skills to successfully manage multiple priorities and assignmentsProven capacity to approach problems effectively and creatively, offering innovative and practical solutions.Proven analytical abilities.Strong communication skillsAn experienced team player, bringing enthusiasm and energy into group efforts to direct and lead others to produce desired resultsArticulate and creative, offering innovative and practical solutionsScope of WorkResponsible to handle and administer facility with respect to Power, Back-up Power, UPS, HVAC, basic Project management, Fire Safety, Electrical & Plumbing, Access Control, Space Management, AMC, Energy planning, Space management, Vendor Management, establishing good relationships with employees and ensure excellent liaison with the builders/developers for the efficient running of the facilityResponsible for managing facilities.Responsible for Maintenance & Engineering, Security, Health & Safety and Fire safety regulationsParticipation in developing organizations overall facilities strategyAdvising on health and safety, energy efficiency, and effective use of space for the occupants and usersEfficiently manage office space, propose ideas and measures for space optimization.Facilities ManagementAbility to manage the Soft Admin aspects as available in an IT/ITES MNC environment like Security, Catering, Pantry, Stationery, House Keeping, Help Desk, Employee welfare, dealing with outsourced contractual service providers.Manage administrative service contracts & renewals which includes purchase requests, vendor technical reviews, vendor services assessment, vendor staff training, monthly vendor performance & Vendor developmentManaging the Outsource PartnerReview, formalize and manage the process for Access control and Physical securityImplement various strategies to ensure high-level security of office assetsTo Forecast, project, and involve in finalizing the quarterly budget for operational and capital expenses of the facilities, check for new and expired vendor AMCs, raise the requests, co-ordinate with supply vendors to procure the same on the release of the respective purchase orders.To ensure all emergency equipment like battle boxes, fire extinguishers, detectors and hooters, First-Aid Kits, Health, and Safety related items are intact and easy access for any emergencies in the facility by taking up periodic checks, registers maintenance, and weekly and monthly auditsPrepare MIS reports: -Identify & pursue potential cost reduction & containment initiatives, covering all aspects of the processPreparation of monthly Management report and develop comprehensive review report for constant monitoring of facilities activitiesFormalize rate contracts and agreements with vendorsSupport Functions and Other ResponsibilitiesOversee and guide the overall operations of Mail Room, check and guide on the operations, collection/distribution of mails and couriers, register all discrepancies for proper RCAsCoordinate and accommodate Customer/VIP visits as per company norms, their entry, access, and walk-through are taken care of. Board rooms and visiting areas are maintained as per company standards.To maintain all Statutory documents, medical certificates of cafeteria vendors, background check reports of out-sourced vendors, and update periodically as applicable.
