Job Description

Administration and daily update of the company’s HR Software.
Administer company policies and co-ordinate approval workflows(such as probation completion, loans, changes in employment conditions).
Preparation of accurate and quality assured contractual and other HR documentation materials(contracts, addendums, loan agreements, maternity agreements, confirmation of employment letters, exit documents, other ad hoc documents).
Administer the Onboarding and Offboarding procedures (sending invites, getting approvals, sending surveys etc.).
Assist in the Administration of Migration procedure.
Assist with the Medical Insurance process by co-ordinating registrations, deletions and changes.
Support with the preparation of monthly payroll.
Organise and maintain employee’s physical and digital records / personnel folders.
Managing the retention of employee documents and records according to GDPR regulations.
Act as a first point of contact for all HR enquiries across the organisation and advise accordingly, with a great employee experience mindset.
Managing and tracking the whole employee lifecycle in HRIS.
Assuring high quality input through checking and raising issues with processes as they arise.
To drive and maintain high quality people data to enable high quality MI and Insight for stakeholders to improve overall business desicion making and performance.

Qualifications

Previous HR experience within an Administration/Shared Services remit, email/inbox management and case management would be considered as an advantage.
CIPD qualified candidates (level 3/5) or equivale qualifications will be considered as an advantage.
Additional payroll experience will be considered as an advantage.
Previous experience in a fast-paced environment.
Ability to meet strict deadlines.
High service focus and results driven.
Positive and motivated with flexible and adaptable attitude. Highly resilient, particularly when working with change.
Excellent attention to detail.
Excellent written and verbal communication skills and strong telephone manner.
Well organized and self-disciplined with the ability to work well under pressure.
Strong interpersonal skills with the ability to develop effective and positive working relationships within and outside of the department. Strong team work ethic.
Must demonstrate high levels of integrity and adopt a professional approach in all interactions.
Strong PC and technical knowledge and skills with an excellent working knowledge of the Microsoft packages including Word, Excel and Teams.
Commercial, numerical, analytical and problem solving skills.
Ability to keep strict confidentiality at all times.
