Position : Accounting Clerk/Client Services Agent

Job Description : Position Purpose
To provide timely and accurate financial services to the Company’s active client base for all transactions including receipts, disbursements, fees, and taxes, and record those transactions in the Trust Accounting System. In addition, the position will provide backup as needed in other departments.
Responsibilities

Coordinate and input payables.
Upload positive pay file to the banking website and monitor exceptions.
Perform the Daily Cash Audit for the previous business day. Reconcile Maui to Client cash activity and resolve any discrepancies.
Scan DOB supporting documentation to server and file hard copies.
Review client trust checking accounts on-line to identify and post incoming Rental and Other Income via ACH from property management or other payers.
Process outgoing Client disbursement requests within required timeframes.
Collect applicable Disbursement fees for all Client Service transactions.
Post remittances to Client accounts upon receipt of data files and after confirming receipt of corresponding funds.
Open and review incoming mail for payables and related items that require immediate action.
Run the Daily Sweep in the Trust Accounting System prior to end of the day.
Review, update, and process scheduled Client distributions and debt service.
Process daily ACH remittance of Client Federal withholding taxes due, if any.
Process and remit any State Withholding Tax returns due monthly/quarterly.
Maintain orderly document retention files for all Accounting.
Submit all quarterly and annual State Withholding Tax filings when due. Prepare and submit IRS Form 945 approved items by respective due dates.
Provide support to Corporate Accounting as assigned.
Answer multiple phone lines, return voicemail messages, and direct calls to the appropriate representative.
Load new applicant and lead information received into Salesforce.
Open new accounts in the Trust Accounting system, post funds, and charge associated fees.
Process initial client online access, send welcome email, and provide applicable application documentation.
Respond to general retail and wholesale client requests such as password reset, POF’s, account statements.
Create new account archive files.
Provide potential clients and business affiliates with Company information and applications as requested.
Provide general customer service which includes but is not limited to follow up with clients for missing compliance information, assist clients in application and various forms completion, update client information in the Trust Accounting System and Salesforce.
Provide support to the Transfer Department and the Investment Department by providing backup for the following processes which include, but are not limited to, conducting conference calls, contacting clients for statement information, producing conversion reports, and assisting clients in completing investment forms as needed.
Complete other tasks as assigned.

Experience, Competencies, and Education

Must have strong interpersonal skills, maturity and good judgment and be capable of communicating with a diverse range of individuals.
Accounts Payable/Accounts receivable experience.
Cash management experience.
Excellent phone skills.
Must display the ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands with continual attention to detail required in composing, typing and proofreading materials.
Ability to manage sensitive and confidential information and exercise discretion.
Basic proficiency in Customer Relationship Management software.
Must be proficient in Microsoft Office Suite (Outlook, Word, Excel).
High School Diploma, with experience in the financial services industry preferred.
