Position : Event and Catering Associate

Job Description : Directs, coordinates, implements and executes events held at the Lou Ruvo Center and Keep Memory Alive Event Center
Job Responsibilities:

Manages & leads events to ensure profitability.
Ensures a timely and smooth turnover from contract confirmation with Sales to event coordination.
Responsible for managing staff at events.
Establishes vendor needs & labor pars.
Schedules bartenders, a/v, labor, security, and cleaners.
Assigns tasks & zones.
Manages expense control.
Oversees Menu & bar selection, all food & beverage during event, and coordinates menu development with caterers on client’s behalf.
Coordinates equipment rentals, delivery, & strike.
Responds to client inquiries in a timely manner to establish trust.
Coordinates and manages event operations to ensure quality services.
Reviews and finalizes event orders and invoices (preliminary & final) with clients.
Coordinates & follows up on payments (preliminary & final).
Ensures all vendor invoices equal services agreed to by client.
Creates room layouts & ensures proper set up.
Receives china & glassware requests from caterers.
Develops the event timeline working directly with client.
Develops bar inventory with pricing & pars.
Develops labor daily/weekly/monthly task list.
Monitors all product expiration dates to adhere to Health Department standards and oversees proper product rotation.
Reviews, submits & approves all payroll for labor.
Creates, reviews, submits & approves all invoices for servers & bartenders.
Troubleshoots all payment issues with A/P.
Maintains calendar for all internal events.
Coordinates all internal events/meetings to include event space confirmation, menu, labor/cleaner staffing, A/V requirements, décor, set up & breakdown.
Submits all vendor invoices for event center for payment and tracking.
Maintains labor & expense tracking spreadsheets for all labor & vendor utilized for internal events.
Other duties as assigned.

Education:

Associate’s Degree in Business or related field.

Certifications:

None Required.

Competencies (Complexity of Work):

Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
Must be able to work in a stressful environment and take appropriate action.

Work Experience:

Minimum of 3 years of progressively responsible work experience in hospitality, marketing or related field.
Additional years of experience may offset the Associate’s Degree.
Excellent communication skills, including writing, proof reading skills, and speaking.
Ability to manage multiple events, projects and work assignments.
Excellent interpersonal skills both in person and by phone, with high professionalism.
Ability to accomplish projects with little supervision.
Excellent customer service ethic and high expectations for quality.
Proficient in using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.

Physical Requirements:

Ability to stand and walk for extended periods of during events.
Evenings and weekends maybe required.

Personal Protective Equipment:

Follow standard precautions using personal protective equipment.
