Job Description : The Role:
We are looking for an Office Assistant to support our Police Department. This position is responsible for providing technical or specialized office support requiring the regular use of independent judgment and initiative.
Incumbents learn and perform a variety of technical and/or specialized office support duties to the assigned department. This class is alternately staffed with Senior Office Assistant and incumbents may advance to the higher level after gaining experience and demonstrating proficiency that meets the qualifications for the higher level class.

Key Focus of the Role:
(Duties may include, but are not limited to, the following)
Performs technical and/or specialized office support work, which requires the exercise of independent judgment, the application of technical skills and knowledge of detailed or specialized activities related to the department. Handles and resolves difficult and sensitive situations and responds to general requests from employees and the public for information; researches and answers technical/specific questions. Assists in the formulation of the budget including typing, calculating, and coordinating its completion. Maintains budget records throughout year, balances and reconciles budget and prepares financial reports. Confers with management to keep them informed on key issues to obtain their support and approval. Uses a computer to develop and manage databases and/or spreadsheet files to develop special report formats. Researches and assembles information from a variety of sources for the completion of forms or the preparation of reports; makes arithmetic or statistical calculations. Types and prepares drafts and a wide variety of finished documents such as correspondence, reports, forms, and contracts from drafts, notes, stenographic notes, brief instructions or printed materials using a typewriter, a word processor, or computer; transcribes dictation from tapes. Proofreads and checks typed and other materials for accuracy, completeness, and compliance with departmental policies and regulations. Initiates specified correspondence independently for signature by appropriate supervisory or professional staff; reviews finished materials for completeness, accuracy, format, compliance with policies and procedures, and appropriate English usage. Conducts specific projects related to the department or office; may obtain and/or provide information from other organizations, summarize such information and prepare recommendations. Provides information to the public or to City staff that requires the use of judgment and the interpretation of policies, rules or procedures. Arranges meetings by notifying attendees, reserving rooms and making lodging and/or meal arrangements. Organizes, maintains and purges various departmental files. Enters and retrieves data and prepares reports using a computer; reviews such reports for accuracy and makes corrections as required; operates standard office equipment. Oversees and personally performs a variety of office administrative details such as entering employee time, preparing purchase requisitions, arranging for the repair of equipment, transmitting information, and keeping reference materials up to date. Acts as receptionist and receives and screens visitors and telephone calls and directs the caller to the proper person or personally handles the call; provides information which requires the use of judgment and interpretation of policies, rules and procedures. Receives, opens and routes department mail; distributes department correspondence to appropriate destination. Organizes own work, sets priorities and meets critical deadlines. May be required to attend meetings at other locations, pick up and deliver supplies and materials from one location to another. Receives, tabulates, and accounts for fees and other moneys received by the department. May act as executive secretary to a board or commission; takes and transcribes minutes (depending upon department assigned); coordinates agenda, etc. Inventories and orders office supplies, equipment, uniforms, etc. to maintain sufficient inventory for departmental usage. Completes and maintains departmental purchase orders. Receives, opens and routes department mail; distributes department correspondence to appropriate destination. Performs those day-to-day activities that are required to keep the department (program) functioning effectively, but are not specifically related to project work. Assists department management with various special projects or programs. May have signature power for certain documents in authorized situations. May provide lead direction, training and work review to other office support staff; may organize and assign work, set priorities, and follow-up to ensure coordination and completion of assigned work. May train others in work procedures and other job duties. Performs other related work as required.

Qualifications and Attributes:
Education and Experience:
High school diploma or GED and two years of highly responsible office support experience.
Prefer some continuing education in secretarial science, business or job-related.

Licenses and Certifications:
(Depending upon area of assignment)
NCIC Certification.

Must possess a valid state driver’s license and maintain satisfactory motor vehicle record and ability to obtain appropriate Nevada state driver’s license within required time frame.

Bilingual ( English/ Spanish) preferred
Skills:
Analytical skills necessary to perform numerical calculations to obtain totals, balances, and verify information from complex forms and transfer to computers or manual reports. Interpersonal skills necessary to effectively interact with internal staff, citizens and other City officials and staff in order to give and extricate information in a courteous and friendly manner. Skill in organizing and prioritizing tasks. Typing at a rate of 45 net words per minute. Typing at a rate of 35 net words per minute. (Commissary position only). (Depending on area of assignment) May be required to take shorthand/speed writing at 80 accurate net words per minute. Position assigned to City Hall/Main Lobby Desk must be bilingual.
