The Office Administrator implements all office policies of an organization. Responsibilities range from assisting with human resource initiatives to buying office equipment. The Office Administrator thrives in a fast paced environment juggling multiple tasks while ensuring the office runs efficiently and who enjoys the challenge of always thinking a step ahead. Must be flexible and good-natured to handle a wide variety of functions that vary from basic to complex and challenging.
The Office Administrator is also responsible for the creation and maintenance of all office projects. The position will plan, implement, and manage multiple office projects simultaneously, by developing project goals, work plans, timelines, coordinate resourcing, implementation strategies, and use evaluation methods to successfully deliver projects.
Responsibilities:

Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. Keep up with the maintenance of the office.
Establish and own relationships with local facility vendors and support corporate office with contract negotiations and renewals.
Work closely with internal resources to work through project tasks and determine appropriate solutions to meet project goals.
Ensure projects are properly concluded where any outstanding tasks or items are clearly outlined with agreed upon ownership.
Schedule meetings, set appointments and take care of meeting details. Coordinate travel arrangements.
Support the recruitment process by posting open jobs, coordinating interview schedules and partnering with hiring managers to ensure process is moving forward.
Support the new hire orientation process by providing new hires information on office layout and guidelines and coordinating requisition of the necessary equipment and system access.
Distribute local mail and assist staff with preparing mailings and shipments as needed.
Manage local office access badges and overall office security.
Evaluate need for and requisition adequate office supplies.
Greet visitors, answer phones, and respond to a wide variety of calls, concern and/or complaints for the purpose of resolving problems, providing information, and/or referring to appropriate personnel.
Proactively anticipate and coordinate special projects and assignments to meet deadlines.
Other duties as assigned.

Requirements:

Associate degree required, BA/BS preferred.
5-7 years office administration and project management experience required.
Microsoft Office suite, Excel, Word, Outlook, and PowerPoint.
Thrives when juggling multiple tasks in a fast environment.
Independent and proactive self-starter with the ability to continually look for ways to accomplish tasks efficiently or improve processes.
Demonstrated diplomacy.
Service oriented and derives satisfaction from helping others be successful.
Excellent communication skills with the ability to build relationships, collaborate, and relate to a variety of personalities.
Able to quickly solve problems finding win-win solutions.
Ability to handle confidential and sensitive information.
Able to produce reports and analyze data.
Exceptional planning skills, organized, and be able to prioritize. Tasks need to be taken to completion.
Able to lift or move items of moderate weight.
Able to respond to local office security calls evenings and/or weekends as needed.
