Job Description : OVERVIEW
The Office manager will work within the clinic to develop strategies, manage staff, and oversee day-to-day clinic duties (scheduling, billing, wait times, patient safety etc.). The Office Manager will ensure that the clinic needs of the practice are met and actively work to recruit new patients and train staff.
GOALS

Create SOPs for the front and back office.
Cross train front office and back-office duties.
Assist in creating and develop standard initial evaluations and follow up notes for psych and medical to meet all guidelines of CMS and best practices for billing.
Assist in transitioning to fully electronic on psych side. Involvement on transition to training providers.
Assist in project of converting paper chart to electronic chart.
Create best practice for eligibility, scheduling, and wait times.
Create best practices to optimize customer services. i.e. sops for answering voicemails, Initiating PARs, answering Pharmacy questions, and following up on complains and concerns and rectifying the gaps in services.
Train providers on beset billing practices
Optimize billing codes implement updated codes in system and train providers to properly select level of service.
Successfully close out each day with all pending provider notes finalized within 24-48 hours for billing.
Reduce denials on claims due to provider/admin negligence.
Decrease no show rate/increase provider productivity. Goal 20-25 patients a day per provider
Optimize staff schedule and control overtime.
Any additional duties that may arise to meet the. Needs of the clinic.
Supply ordering for clinic and office supplies.
Monitor and manager provider schedules.
Send daily updates via email to front and back office regarding schedule changes, any clinic updates, etc.
Manager staff at both clinic locations Boulder and Charleston, including coordinating staff schedules and coverage for call outs and PTO requests.
Reviewing and approving employee time sheets for payroll purposes
Address any patient complaints regarding scheduling, providers, staff, etc.
Coordinate with providers regarding policy and procedure changes within the clinic
Communicating with providers regarding schedule changes and address any of their needs.
Coordinating yearly staff trainings
Hiring of new staff members and staff terminations

MILESTONES
Measuring goals by:

Reduction in no show rate,
Reduction of denials due to ineligibility and negligence of the staff
Reduction in wait time
Increase in productivity per provider
Increase of billables due to maximizing provider codes on patient visits
Finalization of all Physicians going fully electronic
Reduction of overtime hours
