Job Description : POSITION: ADMINISTRATIVE ASSISTANT: Office Manager– Philomath Middle School
DESCRIPTION: Under the supervision of the Principal and/or Supervisor, performs work as an Administrative Assistant and/or attendance coordinator, including functions such as: collecting, organizing and maintaining necessary school materials and student information, overseeing school financial records and payments, and maintaining a variety of office records. Performs a wide variety and complexity of clerical tasks requiring the use of computer applications, phone and other support procedures. Interacts with students, staff, parents and the public in a manner that establishes and maintains positive relationships. Requires knowledge, application, and adherence to school district policies and procedures. Depending upon need and contractual language, position may move to different PSD schools; this is a school district position.
QUALIFICATIONS:
High school diploma required; three years of office experience and/or university coursework preferred.
Demonstrated proficiency in English, spelling, grammar, mathematics/computation, typing/ keyboarding, bookkeeping, office procedures and practices, and computer use (Microsoft Office Suite) by showing a relevant work history and/or by scoring at an acceptable level on a related skills test.
Demonstrated ability to keep complicated, detailed clerical records and to prepare accurate reports.
Demonstrated ability to work independently on different clerical tasks and apply organizational skills to complete a variety of demands on schedule, even in the face of numerous interruptions.
Must complete a fingerprint-based Criminal History Background Check
Bilingual Spanish a preferred qualification in candidate consideration.
Obtain and maintain valid First Aid and CPR certification.
EXAMPLES OF DUTIES:
Engage, establish and maintain harmonious and cooperative relationships with students, staff, parents, and the community. Support the overall positive environment of the school.
Observe and maintain mandatory confidentiality (FERPA, HIPAA, etc.).
Maintain files & perform standard clerical and/or recordkeeping work regarding, but not limited to, student records, financial records, grade reports, grant reports, requisitions, and purchase orders utilizing district electronic data systems.
Independently prepare correspondence and varied reports relating to school business.
Transcribe and type verbal and/or handwritten dictation, including forms, bulletins, newsletters, manuals, letters, and other required materials with speed and accuracy.
Maintain attendance register, entering attendance daily into the district data system. Compile attendance data, verifying absences and excuses, informing administration of attendance issues, and preparing required attendance correspondence.
Track student behavior information and prepare reports and correspondence as needed.
Answer phone calls and serve as receptionist, dispensing information as directed. Receive, sort, and distribute mail.
Orient and train office support and/or volunteers; supervise student aides.
Schedule substitute employees as needed and track/report employee attendance (potential after hours/weekend calling for substitute employees).
Enter and maintain information on the school website.
Arrange field trip transportation with district Bus Company for various trips and events.
Administer first aid as needed, dispense required student medication, and collaborate with school district nurse in the delivery of health room support for students.
Perform other duties as assigned by the Principal or supervisor.
CONTRACT: 8 hours per day, 11 months/year, salary and benefits per the Classified negotiated agreement.
