ABOUT THE POSITION
Responsible for project coordination of plant operations by supporting Procurement, Accounting, Operations, safety initiatives, and Asset Management
Responsibilities
Works independly regarding the following activities:
Purchasing
Research and evaluate Vendors and Contractors based on cost, selection, services and availability prior to purchases being made.
Serve as liaison in negotiations between vendors and employer. Negotiate new deals as well as renegotiate expiring contracts.
Produce procurement documents for services and materials per company procedures, employing extreme attention to detail.
Monitor the procurement progress of all shipments and services to ensure proper and timely accruals; addressing any problems throughout.
Act as resident expert of purchasing programs and procedures, providing training to local team when necessary.
Monitor suppliers and contractors and collect feedback from site team regarding quality, delivery, service and safety.
Office Management & Accounting
Manage the overall operations of the plants’ financial processes in accordance with company procedures.
Maintain office services by organizing office operations and procedures, controlling correspondence, coordinating facility services, overseeing maintenance contractors, managing office supply levels and keeping management informed with open communications.
Develop and maintain Plant procurement and accounting reports for Corporate Payables and Asset Management.
Responsible for organizing and maintaining Plant documents, procedures and records utilizing company share drives
Human Resources Liaison
Help coordinate questions raised by current employees and new-hires
Onboarding of new hires
Public Relations & Community Involvement
Act as liaison to provide charitable donations.
Represent organization as needed in a variety of public settings to increase awareness.
Health, Safety and Environmental
Engage in the Health, Safety and Environmental programs by being an active participant in committies, events and programs
Active participant in the Plants safety committee.
Work closely with Site Management to ensure safe and efficient operations
Perform other duties as assigned
Qualifications
Education:
Typically requires an AA degree in business administration or equivalent and a minimum of five years of related experience. Experience should include as a minimum 1 to 2 years experience in document control and financial reporting
Skills/Knowledge/Abilities
Proficient in Microsoft Office 365, including Excel, Word, Powerpoint and Outlook
Efficient with Procurement database applications such as EAM Datastream 7i
Excellent communications skills, including written, verbal and listening.
Posses high level of multitasking skills
Effective organizational skills
Self-Motivated and work independently
Must be able to lift 25 pounds.
Must be able to occasionally climb ladders and stairs.
Participate in the creation, revision and adherence to budgets
Prepares monthly accrual report
Prepares Inventory management reports
Maintain payables reconciliation reports
Procures parts and services for the Facilities
