Job Description : Receptionist -Tao Group Hospitality Corporate

The Receptionist represents the face and the voice of the company when greeting visitors in person or when answering the phone. The Receptionist will interact with the public as well as with staff and must be able to quickly understand the nature of the business where he or she works and all company’s venues. The Receptionist must be able to handle difficult situations such as customer complaints or employees running behind schedule for an appointment or a meeting. Ability to handle multiple situations at once with a sense of urgency, poise and confidence. The receptionist must be courteous, alert and watchful of all personnel and visitors that enter the office and must be the one to alert Security/HR/Management if a situation should arise.

Perform opening and closing procedures of the reception and lobby areas
Answer phones and properly transfer calls to the appropriate employees and/or departments
Greet and assist internal and external clients and guests
Answer questions about the business and/or give the company’s website for further business information
Take messages and ensure they are forwarded to the appropriate employees and/or department
Accept & sign for items and/or packages that are dropped off; advise employees
Ensure that the reception storage closet is well-maintained and the fridge stocked with water
Printing, faxing, scanning, filing, and copying
Utilize security computer to allow employees and/or guests entry into the offices
Maintain a pleasant, neat and clean appearance of the reception area
Send out letters, cards, and packages through USPS, UPS, or FedEx
Maintain general company voicemail
Schedule meetings for staff in the conference rooms
Schedule pick-ups for courier service
Distribute incoming e-Faxes
Arrange transportation for guests as needed

EDUCATION/REQUIREMENTS:

High School Diploma
Proof of eligibility to work in the United States
Maintain a professional, neat, and well-groomed appearance adhering to Tao Group Hospitality standards
Must have a minimum of six (6) months direct work experience

WORKING KNOWLEDGE REQUIREMENTS:

Proficient in Microsoft Office Suite including Outlook, Word, & Excel
Familiarity with high volume phone systems with more than 6 lines
Printing, faxing, scanning, filing, and copying
