Job Description : The Role: We are looking for SERVICES AND PARTS SPECIALIST; this individual is responsible for receiving vehicles at Fleet Operations from a variety of city departments and divisions. This position is the first and last contact for the division’s customers requiring a high level of expertise and understanding of vehicle and equipment maintenance, customer and vendor relations, as well as the tasks associated with Stores operations and related computer software applications.

ESSENTIAL FUNCTIONS: (Essential and other important responsibilities and duties may include, but are not limited to, the following)
Performs data entry and record maintenance for the fleet management system and the fleet telemetric system,
Conducts online vehicle and equipment sales and customer service as it relates to the parts counter.
Researches parts manuals, catalogs, reference books from approved vendors to order needed parts and supplies for the fleet maintenance and repair function. Orders required parts and materials from pre-established vendors and may drive to vendor location to pick up materials or parts. Receives materials, supplies and parts that are delivered.
Reviews requisition forms and packing statements then notes discrepancies and follows-up with vendors. Documents receipt of materials and the issuance of materials by entering such data into the automated Stores inventory system.
Maintains billing information for each City department for items issued in the automated work order/inventory system.
Initiate vehicle/equipment work orders and closures of completed work orders, and pick-up and/ or delivery of repaired vehicles.
Enter automotive repair information into the automated data entry system. Maintain historical repair data. Review output from the automated work order system and make recommendations to shop management.
Schedule preventive maintenance services (P/M); monitor P/M scheduling to ensure scheduled times are met by shop personnel and customers. Contact appropriate personnel regarding vehicle/equipment maintenance, repairs, and additional work as needed;
Monitor vehicles and equipment repaired by vendors (outsourced repair)
Works closely with supervisor and office support staff, ensuring customers’ expectations are met; maintain all aspects of workflow through the shop; assist with the functions of part-time service workers and in the support of computer maintenance system data entry.
Schedule equipment for maintenance and repairs; monitor the progress of work; provide technical assistance as directed.
Complete repair order forms. Assign work to part-time staff.
Assist supervisor in prioritizing work based on skill, training, type of certification needed to perform repairs covered by emission policy and/or CDL regulations and priority of repairs.
Compile information; maintain records and complete reports related to: pool vehicle usage and maintenance, equipment awaiting repairs, maintain equipment data files, tool and equipment inventory, hazardous chemicals, material safety data sheets, accident reports and scheduling of outsourced accident repairs.
Establish and maintain records and files and prepare reports pertaining to shop operations equipment, materials and supplies.
May pick up and deliver parts and supplies from outside vendors.
Observe safe work methods and safe driving practices related to the pick up and delivery of parts and/or towed vehicles.
Contribute to the efficiency and effectiveness of Fleet Operations service to its customers by offering outstanding commitment to work ethics, work quality and/or participating as an active member of a work team.
May perform Stores functions for small equipment and supplies.
May perform work unsupervised in field locations. May be required to work afternoon or night shifts.
Performs related duties and responsibilities as required.
Regular and timely attendance is required. Position may be asked to respond to emergencies during off hours.
MATERIALS AND EQUIPMENT USED:
General Office Equipment, various city vehicles and personal computer

Qualifications and Attributes: Education and Experience:
High school diploma.
Four years of full-time experience in performing parts counter work related to Stores operations for the preventive maintenance and repair of light duty and/or heavy duty vehicles and equipment utilizing an automated fleet management system
Equivalency: May substitute a combination of equivalent education and experience. The city assesses 1 year of fulltime experience as equivalent to one year of education.
G.E.D. may be substituted for high school diploma.
Licenses and Certifications:
Must possess a valid Nevada Class C driver’s license at time of appointment; and may be required to possess a Class B or A CDL license with appropriate endorsements. Must maintain satisfactory motor vehicle record while employed.
Must obtain and maintain a valid: ASE certification in Stores operations for automobiles within twelve (12) months of appointment to position.
May be required to have or obtain an ASE certification in both heavy duty and light duty Stores operations.
Failure to obtain and maintain this certification will result in non-confirmation of appointment.

Knowledge:
Reading and interpreting parts catalogs and manuals.
High levels of accurate inventories and system data; work order control and billing records; making accurate arithmetic calculations. Microsoft Excel experience. Occupational hazards and standard safety practices.
Skills:
Providing and maintaining operation logs and records. Working independently in the absence of supervision. Learning, understanding and applying pertinent laws, rules and regulations. Understanding and following oral and written instructions. Communicating clearly and concisely, both orally and in writing.
Establishing and maintaining effective working relationships with those contacted in the course of work.
Physical and Mental Abilities:
Standing/walking constantly at job sites for short distances on uneven terrain in areas of construction, trip hazards.
Sitting frequently in a cab of a vehicle while operating equipment throughout work shift subject to bouncing, jarring and vibration.
Lift/carry frequently carrying 10-100 lbs.of bagged and/or boxed materials and supplies, tools , shop equipment, lubricants and chemicals typically found in a shop setting often over 50 ft in distance.
Push/pull frequently, using one or both hands or arms while performing job tasks, exerting up to 5-50 lbs. force. Infrequently, 50-75 lbs. force.
Climbing frequently in and out of vehicles or on and off equipment, climbing ladders, raised platforms and walking close to, or inside lube pits, performing work over and under vehicle lifting equipment. Bending/twisting frequently at waist, knees and neck, throughout work shift. Kneeling/crouching/crawling frequently while performing lube and/or maintenance tasks. Worn on all types of surfaces, performing maintenance, repair and/or cleanup for extended periods of time.
Hands/arms constant use of both hands and arms in reaching, handling, grasping, fingering and gripping, while using tools to perform job tasks.
Good sight is required constantly, while performing job duties. Requires acuity in near- and mid-ranges of vision and hand and eye coordination.
Good speech and hearing is required frequently, while giving and receiving instructions and in routine exchanges of information.
Maintaining mental capacity which allows the capability in making sound decisions. Effective interaction and communication with others.
Mobility to work in a typical shop or field maintenance setting, including operating small hand and power tools and standard office equipment and to drive a motor vehicle to reach various work sites and pick up and deliver materials; vision to read printed materials; and hearing and speech to communicate in person or over a radio or telephone. Working Conditions:
Typical shop settings where sound levels, temperatures and other conditions may be above normal ranges. May work in awkward positions, tight or confined spaces.
