Job Description : Overview:
The Gift Processor (Accounting Assistant) is an on-site position that reports directly to the Manager of Compliance and Gift Administration and is primarily responsible for the gift processing operations in University Advancement. The position interacts with donors, faculty and staff to answer questions/requests regarding charitable contributions to the University. The position creates and updates a variety of information on Utah State University’s fundraising and constituent database (Millennium) for alumni, donors and other constituents.
Responsibilities:
Receives, processes, and reports on gifts, pledges and memberships received from multiple channels adhering to the USU Gift Acceptance and Crediting Procedures and USU Cash Handling Policy.
Conducts donor history research to get confirmation on gift designations by reviewing provided documents, internal files and/or reaching out to donors, campus departments, and University Advancement staff, as necessary, to ensure proper allocation based on donor’s intentions.
Prepares and balances the daily deposit.
Produces and manages daily, weekly, and monthly gift reports for donors and units across campus.
Communicates with University staff and donors to ensure USU has accurate information/records for processing gifts and responding to other donor inquiries.
Creates and updates constituent records in the database, analyzing information and populating fields in accordance to university procedures.
Complies with security policies regarding confidentiality of all donor information.
Researches, implements, and enforces USU procedures for following IRS, Federal, State, PCI, FERPA, CASE, and GASB regulations regarding charitable giving and the security of information.
Develops and maintains gift processing and accounting procedures as USU processes and other regulations for charitable giving change.
Researches, prepares and distributes donor pledge reminder letters for large multi-year pledges. This includes communication with the development officers and/or donors to adjust payment schedule if necessary.
Reconciles financial transactions and prepares journal entry corrections.
Maintains scholarship recipient records on the database.
Coordinates with controller’s office and units to ensure valid Banner index is available to allocate contributions to.
Maintains chart of accounts in database.
Performs other related duties as assigned.
Qualifications:
Minimum Qualifications:
Two years of experience involving basic accounting and business principles OR an Associate’s Degree in a related field.
Excellent typing and ten key skills.
Experience with Microsoft Office Suite (especially Excel and Word).
Preferred Qualifications:
Bachelor’s degree in accounting, finance or another related field.
Experience working in a philanthropic or higher education environment.
Knowledge of higher education fundraising principles.
Development of financial reports.
Experience with Millennium, or other higher education fundraising software.
Skills and Abilities
Ability to be highly detailed and service oriented.
Ability to perform data entry for sustained periods of time.
Ability to learn and adapt quickly to new software with detailed policies and procedures and a critical degree of accuracy.
Ability to locate information from a variety of sources, including online directories, websites, electronic media, and published reference sources.
Good interpersonal, communication and organizational skills.
Ability to work in a fast-paced environment.
Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines.
