Job Description : Utah Physical Therapy is expanding and you may want to be a part of this exciting time. Utah PT is a private practice orthopedic clinic located in West Haven, South Ogden, Farr West and Centerville Utah. We are currently hiring for two part-time Medical Receptionists for our West Haven and Far West locations. This position may also fill in at other locations on occasion as needed.

As Medical Receptionist you must possess excellent communication skills and able to interact professionally with teammates and patients. This position must be able to perform well under potentially stressful circumstances while multi-tasking and attending to the details necessary. There are frequent interruptions to your work flow and must be able to be productive and effective in the duties given while continually coordinating and working with other team members.
GENERAL ROLE AND RESPONSIBILITIES

Greet and check in patients with a smile and communicate clearly
Assist in maintaining clinic cleanliness
Complete any other reasonable tasks as directed by supervisors
Attend clinic events outside your typical work schedule, 80% of staff meetings, 90% of staff trainings
Be cross trained with a few Aide responsibilities as to assist with patient care in gym PRN as directed by Clinic Manager

MEDICAL RECEPTIONIST DUTIES

Schedule patients, making sure to follow scheduling guidelines
Verify patient’s insurance benefits and explain to patient
Answer phones, speaking professionally and politely. Forward and respond to phone calls/messages as needed, noting important information in patient chart
Contact patients to set up appointments
Set up electronic patient chart in electronic medical records software
Maintain updated and accurate patient charts
Process patient payments and ensure that collected payments and issues related to patient insurance are communicated with the biller
Verify payment batch at end of each shift is accurate and correct
Ensure responding to inquiries, voicemails, faxes and mail, emails throughout the day, in a timely manner
Ensure all phones are answered with in 3 rings, speaking pleasantly and enthusiastically while maintaining professionalism, identifying the clinic and own name
Ensure Response to phone calls/messages & important information noted in patient chart accurately
Ensure appointment reminders (automated or personal) are completed 1 business day prior to appointment
Ensure all pt.’s scheduled 1-2 weeks out until anticipated/scheduled discharge
Ensure all no-show/late pt.’s are called 8 min after apt time so as to reschedule within that week or keep apt. as directed by clinical staff
Ensure all pt. payments are collected & processed properly at time of service (copay, coinsurance, and deductible) and for non-covered services / supplies rendered, & that it’s documented properly, receipts given, etc.
Other special duties as assigned

PATIENT CHART MAINTENANCE

Ensure that all new pt.’s understand benefits, understand policy and procedure as related to them (such as no show, cancelations, office hours, anticipated payments, appointment reminders, etc.)
Ensure all EMR and paper schedules match & are both updated throughout the day & match at closing

QUALIFICATIONS AND EDUCATION REQUIREMENTS

Excellent customer service, interpersonal and telephone skills
Prior Customer Service Experience, pays attention to detail, Ability to solve problems quickly and efficiently
Professional appearance, dress, and grooming and drug free. Appropriate dress and grooming standards for representative of a medical practice such as business casual dress, and high grooming standards to represent / be the ‘face’ of the clinic as the first ‘view’ patients have of the practice
Acceptable criminal background check to work in sensitive financial and medical environment
Strong computer and typing skills and able to learn new computer programs (like our Electronic Medical Records software). Able to navigate Word, Excel, the internet and basic social media
Punctual, strong communication skills, great team player, effective follow through, smiles often and pleasant to work with. Excited to be at work caring for others
Able to take direction from superiors with proper and efficient follow through
Maintain/obtain current CPR for Healthcare Professionals or willing to obtain within 30d of hire
Maintain HIPPA, clinic and patient privacy
HS diploma
Type min of 40 wpm

PREFERRED SKILLS

At least 1 year medical office experience
Type 60 wpm, able to use business phone systems
Microsoft Office Certification
